Key Responsibilities
Administration & Client Support
- Assist with the preparation of SFS packages and trust authority documentation
- Support client onboarding and offboarding tasks
- Maintain and update accurate client details in the CRM
- Process MyGov mail
- Complete online signed document filing
- Manage and monitor inboxes
- Assist with general administrative and documentation tasks as required
Support for the Onshore Team
- Assist with administrative tasks as directed by the onshore team
- Ensure delegated tasks are completed accurately and within required timelines
- Maintain organised records and documentation
- Provide reliable day-to-day administrative support to help the onshore team manage workload and priorities
Software & Platforms
Experience with any of the following systems is highly advantageous:
- Xero – accounting, bookkeeping, BAS, payroll, bank feeds, and client files
- Xero Practice Manager (XPM) – job management, workflow, WIP, billing, and staff jobs
- Xero Practice Hub (XPH) – client/practice communication and document management
- FYI – document management and workflow
- NowInfinity – company, trust, SMSF, and legal documentation
- Practice Ignition – proposals, engagement letters, and client fee agreements
- Monday – job management
- BGL – SMSF administration and compliance
- ASIC Portal – company registrations and ASIC-related work
- Content Snare – collecting onboarding/client documents and information
- FeeSynergy – fees, billing, and client onboarding/payment processes
- Zoom – team meetings, training, and client meetings
What We're Looking For
- Previous experience in administration, preferably within an accounting, bookkeeping, or professional services environment
- Strong attention to detail and excellent organisational skills
- Ability to manage multiple administrative tasks and meet deadlines
- Ability to work independently, manage priorities, and complete tasks with minimal supervision
- Comfortable working with digital documents, CRMs, and cloud-based platforms
- Good written and verbal communication skills
- Able to follow established processes and instructions
- Reliable, proactive, and adaptable
- Willingness to learn new systems and processes
- Comfortable working with an Australian-based team and Australian business processes
Role Scope
This is a support-focused administrative role. You'll work under the direction of the onshore team and will not have primary ownership of client, compliance, or finance tasks.
The role does not require independently handling direct client queries or sensitive escalations. Instead, your focus will be on ensuring that administrative tasks, documentation, client records, and workflows are completed accurately and on time.
