Client Services Administrator

Location: Billericay / Hybrid Working

Salary: Competitive

Contract Type: Permanent

Working Hours: 40 hours per week, Monday-Friday

Hours & Shift Patterns:

  • Winter season (October–April): Shift rotation covering 6am–3pm, 8am–5pm, 10am–7pm. Includes weekend working and public holidays (rota basis, with time off in lieu).
  • Off-season (May–September): Monday–Friday, 8am–5pm, no weekend work.

At Ground Control, we're looking for a Client Services Administrator to support our Winter Maintenance and Grounds Maintenance operations. This is a role where you'll play a key part in ensuring client requests, reactive works, quotations and operational activities are managed efficiently, helping us deliver exceptional service to clients across the UK.

What you'll do

In this role, you'll help ensure our clients receive a responsive, professional service while supporting the smooth delivery of operational activities across multiple contracts.

  • Act as a key point of contact for client and customer queries, providing timely updates and helping to resolve issues before they escalate.
  • Coordinate and triage incoming work requests, ensuring urgent jobs are prioritised and directed to the right teams.
  • Manage tenders, quotations and purchase orders, helping to keep information accurate and work moving efficiently through the business.
  • Support reactive winter maintenance operations, helping teams respond quickly during weather events and periods of increased demand.
  • Maintain client systems, portals and internal records, ensuring information is accurate, up to date and accessible.
  • Work closely with Contract Managers, Key Account Managers and operational teams to provide a seamless experience for clients.
  • Handle routine complaints and service enquiries professionally, using sound judgement and a solutions-focused approach.
  • Identify opportunities to improve processes, highlight issues early and contribute to the continuous improvement of the client services function.

  • Experience in a customer service, client services, administration, coordination or support role.
  • A confident communicator who can build positive relationships with clients, customers and colleagues.
  • The ability to work independently and remain productive when managing tasks without direct supervision.
  • Experience working in fast-paced or high-volume environments where priorities can change quickly.
  • Strong organisation skills with the ability to manage multiple tasks while maintaining attention to detail.
  • A resilient and adaptable approach, remaining calm and professional during busy periods and seasonal peaks.
  • Confidence to identify issues, seek support when needed and communicate effectively with colleagues and managers.
  • Good computer literacy and the ability to quickly learn new systems and processes.
