Location: Milan, Italy (Hybrid)

In this position, you’ll be based in the Milan office for a minimum of three days a week, with the flexibility to work from home for some of your working week.

The Shareholder’s Office, Members’ Meetings and Registry department provides operational and administrative support to issuers and their shareholders. The team manages all activities required for the accurate and timely maintenance of the Shareholder Registry, the accounting and financial aspects of dividends and corporate actions, and the full lifecycle of meeting management. This includes member registration, quorum verification, voting processes, and coordination with corporate secretaries and financial intermediaries. The department also prepares statistical reporting and ensures compliance with governance and regulatory requirements.

Within this division, the Client Services role supports the delivery of high‑quality service to clients, shareholders, and intermediaries. The position ensures that all registry, meeting, and reporting activities are executed accurately, on time, and in line with internal guidelines. You will work closely with senior team members and managers, contributing to a culture of precision, professionalism, and continuous improvement.

Key responsibilities include:

  • Ensure accurate and timely execution of all operational activities related to maintaining the Shareholder Registry.
  • Manage the accounting and financial aspects of dividends and corporate actions.
  • Prepare and deliver standard statistical reports for clients.
  • Support all meeting‑related activities, including member registration, quorum checks, voting procedures, and documentation.
  • Liaise professionally with corporate secretaries of client companies and with intermediaries (banks, SIMs).
  • Read and understand voting recommendations issued by institutional advisory firms.
  • Report on the status of assigned activities and highlight any issues during weekly staff meetings.
  • Maintain organized and complete client files.
  • Demonstrate strong attention to detail in all activities.

What will you bring to the role?

We’re looking for a detail‑oriented, analytical professional with strong communication skills and an interest in shareholder services, registry operations, and meeting management. The ideal candidate is able to interpret complex documentation, manage structured processes, and collaborate effectively with internal teams and external stakeholders.

Key skills and qualifications include:

  • Strong communication and interpersonal skills, with the ability to respond professionally to client inquiries and internal requests.
  • Ability to read and interpret proxy statements, tender offer documents, and voting recommendations.
  • Strong problem‑solving ability and analytical mindset.
  • Ability to follow written and verbal instructions and manage complex tasks accurately.
  • Excellent Microsoft Office skills, especially Word, Excel, and Access.
  • Fluent knowledge of the English language.
  • Ability to understand registry and meeting‑related processes and develop expertise through structured training.
  • Strong attention to detail and commitment to maintaining organized, complete documentation.
  • Master’s degree in legal and/or economic disciplines.
