We are seeking a full-time Client Service Representative to join our team. As the first point of contact for our clients, this role is essential in creating a welcoming and supportive experience for clients and their pets through concierge-level service, knowledgeable guidance, and effective coordination with our medical team. THIS IS A FULL-TIME POSITION

Duties and Responsibilities:

  • Deliver concierge-level client service by scheduling appointments, managing patient flow for multiple doctors, and creating a welcoming experience for clients and their pets both in person and over the phone
  • Manage a high-volume, multi-line phone system, triage client inquiries, and provide accurate information regarding hospital services, preventive care, and treatment recommendations
  • Admit patients, maintain accurate medical and client records, and support efficient daily hospital operations
  • Collaborate with doctors, technicians, and hospital staff to ensure seamless communication, coordination, and continuity of patient care
  • Build positive client relationships through professionalism, empathy, and attention to detail while supporting the comfort and well-being of patients during their visit

Knowledge, Skills & Abilities:

  • High school diploma or equivalent required; client service experience preferred - veterinary experience a plus
  • Experience with EzyVet or similar veterinary practice management software preferred
  • Proficiency with computer systems and multi-line phone systems
  • Excellent communication, organizational, and time management skills with the ability to prioritize effectively in a fast-paced environment
  • Strong attention to detail and commitment to accuracy, professionalism, and exceptional client service
  • Ability to provide compassionate, empathetic support to clients during both routine and emotionally sensitive situations
  • Team-oriented mindset with a willingness to learn, adapt, and contribute to the collaborative culture of Heart of Chelsea Veterinary Group
  • Genuine appreciation for pets and commitment to supporting exceptional patient care
