VCA Encina Veterinary Medical Center is seeking a compassionate, organized, and team-oriented Client Service Representative (CSR) to join our hospital team. As the first point of contact for our clients and patients, our CSRs play a vital role in creating a welcoming, professional, and supportive experience for both pets and their families.

This position is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, communicates with empathy and professionalism, and is passionate about helping people and animals.

What You’ll Do

• Greet clients and patients warmly upon arrival
• Manage a multi-line phone system with professionalism and efficiency
• Schedule appointments accurately based on patient and client needs
• Check patients in and out using our practice management system (PMS)
• Process payments including credit cards, cash, and CareCredit
• Maintain accurate client and patient records
• Request and organize medical records from referring hospitals
• Recognize emergency situations and alert medical staff immediately
• Maintain a clean and organized reception, lobby, and phone area
• Support doctors and medical staff with communication and administrative tasks
• Confirm appointments and communicate updates with clients as needed
• Assist with opening and closing duties

What We’re Looking For

• Excellent customer service and communication skills
• Ability to remain calm and compassionate in emotional or high-pressure situations
• Strong organizational and multitasking abilities
• Basic medical terminology knowledge preferred
• Comfortable learning veterinary software systems and procedures
• Ability to work collaboratively with a team
• Professional demeanor and positive attitude
• Attention to detail and accuracy
• Flexibility to assist wherever needed to support hospital operations

Physical Requirements

• Ability to stand for extended periods
• Ability to kneel, bend, and squat as needed
• Ability to lift 20+ pounds

Compensation and benefits: $24-25/hour DOE, Full time benefits (medical, dental, 401k, pet discount etc)
