Job Description

Areas of expertise include tax, auditing, compilations, reviews, financial statement preparation, business valuations and trust & estate solutions. WG is seeking an Client Service Coordinator to serve as the operational backbone of the Accounting & Assurance (A&A) department. This role is specifically focused on engagement coordination and operational support - ensuring the seamless preparation, movement, and completion of client engagements by owning workflow systems, managing client document intake, coordinating with engagement teams, and providing targeted workflow support to our A&A team.

The ideal candidate brings direct experience working in or alongside a public accounting firm, understands the audit engagement lifecycle, and is highly proficient with workflow and engagement management tools. The Client Service Coordinator is a proactive, detail-driven professional who takes ownership of keeping engagements moving, clients responsive, and the team focused on billable work.

Key Responsibilities

Engagement Workflow Coordination

  • Monitor Suralink continuously to ensure timely movement of client engagements through each phase of the workflow.
  • Roll forward client request lists within Suralink for recurring and annual engagements.
  • Follow up with clients regarding pending documentation, outstanding items, and information requests.
  • Pull relevant documents and reports from client portals (GL systems, RCM systems, banking portals, TPA and payroll portals, proprietary systems) for use in A&A engagements.
  • Confirm completeness and readiness of key documents upon receipt, including: Trial Balance and General Ledger, Budget, AR/AP Aging, bank statements, and all other required engagement documentation.
  • Route completed engagement packages to fieldwork queues and notify appropriate team members when engagements are ready to begin.
  • Escalate stalled or delayed document requests to the appropriate Manager or Partner with sufficient lead time.

CCH Axcess Engagement Management

  • Perform CCH Binder rollforwards for recurring engagements across the A&A portfolio.
  • Manually import Trial Balances into CCH engagement software as needed.
  • Assist with maintaining engagement documentation and ensuring workflow accuracy throughout the engagement lifecycle.
  • Support overall CCH Axcess engagement setup, organization, and closeout procedures.
  • Assist with Guided Risk Assessment (GRA) setup and Guided Assurance procedures under the direction of engagement managers.

Other Miscellaneous Administrative & Department Support

  • Run and distribute tracking and status reports on a scheduled and ad hoc basis.
  • Follow up on outstanding accounts receivable and billing items on behalf of the engagement team.
  • Update and maintain documents in GFR and other internal document management systems.
  • Support and maintain the A&A department pipeline in HubSpot, ensuring records are accurate and up to date through collaborations with Marketing department.
  • Support and maintain the proposal process for A&A department; assist with collaboration with marketing team in preparing proposals, as directed by Partners and Managers.
  • Provide general administrative support to the A&A / Commercial Partners and Managers.
  • Provide backup support to administrative staff firm-wide during peak periods, deadlines, or coverage needs.

Cross-Functional Coordination

  • Serve as a liaison between the A&A engagement team and the Resource Management team to communicate engagement readiness and pipeline status.
  • Flag scheduling conflicts or capacity issues when engagements are delayed beyond expected timelines.
  • Coordinate with administrative staff on shared tasks, coverage arrangements, and firm-wide deadlines.
  • Attend department meetings and provide engagement status and workflow updates as needed.

Requirements

  • Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field.
  • 2+ years of experience in a public accounting firm or professional services environment in an administrative, operations, or paraprofessional capacity.
  • Familiarity with Suralink or similar client document request and collaboration platforms.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams); ability to quickly learn new programs and technologies.
  • Strong understanding of audit engagement workflow and document lifecycle (pre-fieldwork through issuance).
  • Exceptional organizational skills with the ability to manage multiple engagements and deadlines simultaneously.
  • Professional written and verbal communication skills; comfortable following up directly with clients.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Proactive problem-solver who can work independently and escalate appropriately.
  • Working knowledge of CCH Axcess (or ProSystem fx) engagement management, including binder rollforwards and Trial Balance import a plus.

  • The estimated salary range for this position is $58,000 - $72,000. Individual salaries are determined through multiple factors permitted by law including but not limited to experience, education, licensure/certification, knowledge, skills and qualifications. WG also offers a comprehensive benefits package and performance award (bonus) eligibility where you’ll be recognized and rewarded based on your performance.
