Client Service Associate – Family Office Services

Our client, a cutting-edge provider of comprehensive wealth management and family office services, is seeking a highly organized and client-focused Client Service Associate to support the complex needs of high-net-worth and ultra-high-net-worth families, family offices, and their advisors. This role serves as a key relationship support professional, coordinating client service activities, facilitating communications among multiple stakeholders, and ensuring the seamless execution of wealth management, investment, and administrative services.

The ideal candidate is detail-oriented, proactive, and capable of managing sophisticated client relationships involving family members, trustees, attorneys, accountants, and other professional advisors. This position requires discretion, professionalism, and a commitment to delivering a white-glove client experience. This is an in-office position, based in their central NJ location.

Key Responsibilities

Family Office Client Service

  • Serve as a primary point of contact for family office clients and their designated representatives.
  • Provide exceptional, concierge-level service to multi-generational families and high-net-worth individuals.
  • Coordinate communications among family members, advisors, attorneys, accountants, trustees, and other external professionals.
  • Respond promptly to client requests, inquiries, and service needs while maintaining the highest standards of confidentiality.
  • Develop a deep understanding of each family's structure, goals, preferences, and service requirements.

Wealth Management & Account Administration

  • Assist with onboarding new family office relationships and investment accounts.
  • Coordinate account openings, transfers, distributions, cash management requests, and other client transactions.
  • Monitor account activity and ensure timely processing of client-directed actions.
  • Prepare and distribute account reports, investment summaries, performance materials, and meeting documentation.
  • Maintain accurate records and documentation across CRM and portfolio management systems.

Coordination of Family Office Services

  • Support the administration of trusts, family entities, foundations, and other wealth structures.
  • Coordinate document collection and reporting for annual tax preparation and financial reviews.
  • Track client deliverables, deadlines, and ongoing projects across multiple service providers.

Qualifications

Required

  • Bachelor's degree in Finance, Business Administration, Accounting, Communications, or a related field, or equivalent professional experience.
  • 1-2 years of experience in wealth management, family office services, private banking, trust administration, or a related client service role.
  • Strong organizational and project management skills with exceptional attention to detail.
  • Excellent interpersonal, written, and verbal communication abilities.
  • Ability to manage multiple priorities while maintaining a high level of accuracy and professionalism.
  • Demonstrated ability to handle sensitive and confidential information.

Preferred

  • Experience supporting family offices, ultra-high-net-worth families, or multi-family office clients.
  • Familiarity with trust structures, estate planning concepts, private investments, and family governance frameworks.
  • Experience with CRM systems, portfolio accounting platforms, and custodial systems.
  • Knowledge of wealth transfer and family office operations.
