We are seeking a proactive, highly organized Client Services Associate who enjoys taking ownership, creating order, and keeping work moving.
This is an important support role within a busy, client-focused wealth management firm. You'll work closely with advisors and clients, coordinate a variety of service and administrative needs, and make sure commitments turn into completed work.
The right person doesn't need every detail mapped out before getting started. You are comfortable assessing what needs to happen, determining priorities, organizing the work, and following through. When a process exists, you use it. When something could work better, you're willing to help improve it.
If you're often the person others rely on to figure it out, organize it, and get it done, this could be an excellent fit.
Own client service requests from initial request through completion.
Coordinate account paperwork, service requests, transfers, and follow-up activities.
Maintain accurate client records and ensure required documentation is complete.
Schedule appointments, prepare meeting materials, and coordinate advisor calendars.
Track open items, determine next steps, and proactively follow up with clients, advisors, and outside partners.
Manage competing priorities and adjust quickly when something more urgent arises.
Organize workflows and create structure around recurring responsibilities.
Communicate professionally with clients, providing timely updates and clear expectations.
Anticipate administrative and client service needs and take action without requiring constant direction.
Identify opportunities to streamline or improve processes while preserving what already works well.
Work collaboratively with the team to create a seamless client experience.
The ideal candidate naturally:
Takes ownership and enjoys moving work from open to complete
Creates structure when responsibilities or priorities aren't perfectly defined.
Can determine which details matter without getting bogged down in every detail.
Is comfortable getting started with the information available and asking questions as needed.
Prioritizes effectively when several people need something at the same time.
Follows established processes but doesn't need a rulebook for every situation.
Notices when something isn't working and looks for a practical solution.
Adjusts to changing priorities while keeping important work on track.
Communicates clearly, professionally, and concisely.
Follows up without being asked and closes loops.
Enjoys being the person others can count on to make things happen
Takes pride in helping advisors and teammates operate more effectively.
Professional office experience is required.
Experience supporting financial advisors, banking professionals, attorneys, accountants, insurance professionals, or another professional services environment is preferred.
Experience coordinating multiple responsibilities, deadlines, or client requests simultaneously.
Demonstrated ability to take ownership of work and follow through independently.
Strong organizational and administrative skills.
Comfortable learning new technology and adapting to different systems and workflows.
Excellent written and verbal communication skills.
Strong client service orientation and a professional, polished demeanor.
You're organized, but organization isn't just about keeping your own desk in order You naturally bring order to the work happening around you.
When something lands on your plate, your instinct is to determine what needs to happen and move it forward. You don't need every answer before you begin, and you don't wait for someone else to notice that a follow-up is needed.
You appreciate good processes and consistency, but you're also practical. If circumstances change, you adjust. If something isn't working, you help find a better way.
Your coworkers would probably describe you as resourceful, dependable, proactive, organized, and someone who gets things done.
