Job Description
Who we are looking for
We are looking for an experienced and delivery-focused Team Lead to manage end-to-end client onboarding and conversion activities within the Middle Office Reconciliation Onboarding function. The role is accountable for translating business requirements into scalable reconciliation solutions, directing system and data readiness, overseeing testing and production deployment, managing delivery risks, and ensuring a controlled transition to business-as-usual operations.
The candidate will lead onboarding specialists and work closely with investment managers, custodians, fund administrators, business teams, technology partners, and reconciliation operations. Strong expertise in middle office reconciliation, data analysis, data mapping, TLM/TLP reconciliation platforms, project delivery, people leadership, and stakeholder management is required.
Why this role is important to us
The Middle Office Reconciliation Onboarding team supports the implementation of new investment managers and funds onto State Street’s reconciliation platforms. The Team Lead provides day-to-day delivery leadership and serves as the central coordination and escalation point across business, operations, technology, clients, and external data providers.
The role is critical to ensuring that cash, position, transaction, and market-value reconciliation requirements are accurately designed, configured, tested, deployed, and handed over to operations. It also promotes consistent delivery standards, effective risk management, team capability, process scalability, and a controlled, low-risk transition into live reconciliation services.
What you will be responsible for
- Lead assigned onboarding projects from requirement gathering through solution design, configuration, testing, production deployment, stabilization, and operational handover.
- Manage, coach, and develop onboarding specialists; allocate work, set priorities, monitor progress, and provide timely guidance.
- Establish project plans, roles, milestones, dependencies, controls, and success criteria for each implementation.
- Lead discussions with clients, custodians, fund administrators, operations, and technology teams to confirm reconciliation requirements, scope, assumptions, and delivery approach.
- Review and approve fund matrices, account structures, reconciliation types, data sources, frequencies, tolerances, matching criteria, workflows, and reporting requirements.
- Oversee analysis and validation of cash, position, transaction, and market-value data received through SWIFT messages, flat files, and custodian portals.
- Direct data analysis and mapping for non-SWIFT files and coordinate with ETL, technology, and deployment teams to establish scalable processing solutions.
- Oversee account, reconciliation shell, lead-account, match-rule, workflow, and static-data setup in BUAT and production environments.
- Plan and oversee functional testing, BUAT, DITL, conversion rehearsals, production parallel testing, and go-live readiness reviews.
- Act as the escalation point for complex reconciliation exceptions, configuration issues, delivery risks, client concerns, and cross-functional dependencies.
- Lead root-cause analysis and coordinate sustainable corrective and preventive actions with business, operations, and technology partners.
- Maintain oversight of project plans, open-item logs, Jira tickets, risk and dependency trackers, status reports, decisions, and implementation documentation.
- Provide concise reporting to management and stakeholders on delivery status, milestones, risks, controls, capacity, and critical decisions.
- Ensure procedures, reconciliation playbooks, configuration records, control evidence, and handover documentation are complete, current, and audit-ready.
- Oversee post-production stabilization and ensure outstanding issues, risks, and actions are tracked through closure.
- Maintain a robust operational-risk and control environment, including adherence to maker-checker controls, information-security standards, governance requirements, and escalation protocols.
- Monitor workload, quality, productivity, service levels, project capacity, and delivery performance; implement corrective action where required.
- Identify opportunities to standardize processes, strengthen controls, improve client experience, and reduce manual effort through automation and workflow improvements.
- Lead team training, cross-skilling, succession planning, knowledge management, and continuous capability development.
- Support system enhancements, strategic initiatives, operating-model improvements, audit activities, and management reporting as required.
What we value
- Strong understanding of middle office reconciliation, investment operations, and the investment-management lifecycle.
- Extensive hands-on experience with cash, position, transaction, and market-value reconciliation.
- Strong knowledge of TLM/TLP reconciliation platforms, including static setup, reconciliation configuration, matching rules, tolerances, exception workflows, and administrative functions.
- Experience in external custody data acquisition, SWIFT-message validation, file analysis, ETL data mapping, and production implementation.
- Demonstrated ability to lead end-to-end onboarding projects while managing multiple priorities, dependencies, and timelines.
- Proven people-leadership capability, including work allocation, coaching, performance support, knowledge development, and quality oversight.
- Strong analytical and problem-solving skills, with the ability to lead root-cause analysis and implement sustainable solutions.
- Effective stakeholder-management, influencing, negotiation, and escalation skills across global teams.
- Strong risk and control mindset, with experience maintaining audit-ready evidence and addressing operational or implementation risks.
- Excellent written, verbal, presentation, and executive-reporting skills.
- Ability to translate complex technical and operational matters into clear decisions, actions, and status updates.
- Strong attention to detail, sound judgment, accountability, and a consistent focus on delivery quality.
- Proficiency in Microsoft Office applications and working knowledge of project-tracking, workflow, data-visualization, and process-documentation tools.
Education and preferred qualifications
- Bachelor’s degree in Finance, Accounting, Business, Technology, or a related discipline.
- Approximately 7 or more years of relevant experience in middle office, reconciliation, investment operations, client onboarding, system implementation, or a related function.
- Prior experience leading a team, workstream, or complex implementation within a high-volume, global operating environment.
- Practical expertise using TLM/TLP or another recognized reconciliation platform.
- Experience managing relationships with custodians, investment managers, fund administrators, technology teams, and global operations stakeholders.
- Experience managing implementation risks, testing governance, production readiness, stabilization, and operational handover.
Additional skills
- Experience with JIRA, SharePoint, Power BI, Power Query, Power Automate, or related workflow and reporting tools.
- Knowledge of Agile or Waterfall project methodologies.
- Demonstrated involvement in automation, system enhancements, process transformation, or operating-model improvement initiatives.
- Experience preparing management information, capacity views, performance metrics, and executive-level project updates.
