About Jamesbeck:

Founded in 2002, Jamesbeck is the oldest retained executive search boutique serving both the traditional and alternative global investment management communities. Based out of four offices located in New York, San Francisco, Los Angeles and Chicago, Jamesbeck’s recruiters leverage their network of contacts across the entire buy-side to provide clients and candidates with superior results through their in-depth knowledge of the global industry and commitment to developing long-term relationships in the field. Jamesbeck became an independent business unit of ZRG in July 2024.

Role Summary:

As the Client Experience Manager supporting the Jamesbeck team, you will drive project deliverables and administrative support for the Engagement teams while providing an exceptional service experience to ZRG clients and candidates.

Key Responsibilities:

• Provide proactive administrative and project support throughout the full client engagement lifecycle, anticipating needs and keeping deliverables on track through changing timelines and priorities.
• Work collaboratively with colleagues and teams in a dynamic, fast-paced professional services environment to achieve high-quality results.
• Manage key stages of the executive search lifecycle, partnering with clients, Managing Directors, and Associates to coordinate deliverables, maintain accurate records, address evolving needs, and meet deadlines.
• Prepare, proofread, and maintain accurate, confidential client and candidate materials, including contracts, position descriptions, candidate summaries, status reports, presentations, and correspondence.
• Ensure data accuracy and integrity within ZRG’s proprietary database and digital platform.
• Monitor search projects, strategic initiatives, and business development efforts using Salesforce (ZRG’s cloud-based platform) and Clockwork (Jamesbeck’s platform).
• Build strong relationships and maintain professional, proactive, and responsive communication with clients, candidates, and colleagues throughout the search process.
• Coordinate complex candidate interviews, references, and client meetings, managing high-volume scheduling, calendar logistics, and last-minute changes while proactively resolving issues and ensuring smooth engagement operations.
• Manage aspects of travel, including flight bookings, hotel reservations, ground transportation, and itinerary planning.
• Handle end-to-end expense reporting and reimbursement processes, including tracking receipts, verifying charges, reconciling corporate card transactions, and submitting accurate expense reports in a timely manner using Concur.
• Support the Engagement team with the creation of sales decks, presentation materials, and other business development collateral.
• Provide responsive administrative support in a hybrid environment, proactively supporting team operations, collaboration, and office needs both remotely and on-site.
• Serve as the Jamesbeck liaison in the New York office. Manage office logistics including workspace and conference-room coordination, visitor access, office readiness, vendor communication, and building-related requests.
• Answer firm phones and make outgoing scheduling calls as needed.
• Provide seamless coverage for other administrative team members by maintaining real-time clear, up-to-date search notes, handoff instructions, outstanding document needs, and follow-up items.
• Uphold and contribute to ZRG’s business goals and values.

Qualifications:

• Administrative experience supporting senior management in a client-driven business, ideally within the professional services industry.
• Advanced proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint), CRM systems/databases, design and cloud-based tools, and virtual video conferencing systems; comfort with adopting new technologies.
• Commitment to fostering a strong team culture and building relationships with internal and external stakeholders.
• Proven ability to meet multiple and unexpected deadlines in a fast-paced environment requiring quick turnarounds.
• Experience resolving blockers independently and working with minimal supervision.
• Proactive, detail-oriented, organized, and able to anticipate needs while managing multiple priorities.
• Minimum five years of work experience, preferably two years in a professional services, executive search, or human resources role.
• Undergraduate or vocational school degree required.

This is a hybrid position with three in-office days per week in New York, NY

Compensation is tailored to each individual based on their skills, qualifications, experience, and location. The rates mentioned in this posting represent only the base hourly, monthly, or annual pay and exclude potential bonuses, equity, or sales incentives, where applicable. Beyond base pay, we provide a comprehensive benefits package.
