The Oncology Service (TOS) is hiring a full-time Client Care Specialist (Veterinary Receptionist) for our Richmond, VA hospital.

About the Role: As a Client Care Specialist in our Radiation Oncology department, you’ll be a vital part of the hospital team. This position goes far beyond front-desk support—you’ll help create a welcoming experience for clients, support veterinarians and technicians, and play an important role in keeping patient care running smoothly. You’ll often be the first impression of our hospital, so we’re looking for someone who brings empathy, professionalism, and strong communication skills to every interaction.
 
What You’ll Do:
  • Welcome clients warmly and deliver outstanding customer service from the moment they arrive
  • Answer calls on multiple phone lines promptly, professionally, and with compassion
  • Use active listening skills to gather accurate information from pet owners and clearly communicate details from doctors
  • Schedule appointments in a thoughtful, efficient way that supports patient flow and client needs
  • Partner closely with veterinarians and technicians to share appointment updates, client requests, and other key details
  • Educate clients on hospital services, processes, and next steps in care
  • Assist with general inquiries, appointment coordination, and invoicing
  • Check pets in and out for appointments and services, and schedule follow-up visits as needed
  • Maintain accurate, up-to-date client and patient medical records
What We’re Looking For:
  • At least 2 years of veterinary reception experience preferred
  • Strong ability to multitask, stay organized, and prioritize effectively
  • Comfort working with Windows-based computer programs
  • Good judgment and the ability to seek guidance when situations fall outside standard protocol
  • A calm, professional, and welcoming presence—even in stressful or emotional situations
