Client Accounts Manager – where numbers, clients and real responsibility meet

Vets4Pets Fort Kinnaird | Edinburgh
£13.00–£16.00/hr | Full-time | Weekdays

We’re looking for a Client Accounts Manager to take ownership of client accounts, insurance processes and financial communication within our practice.

You’ll be joining a well-established, supportive team where collaboration matters. While this is a back-office, telephony-based role, you’ll be speaking with clients daily -helping resolve account queries, guiding them through insurance processes, and bringing clarity to what can sometimes feel complicated.

What you’ll be doing

  • Managing client account queries and outstanding balances
  • Handling insurance claims and pre-authorisations
  • Liaising with clients, insurers and finance providers
  • Keeping records accurate and up to date
  • Monitoring and reducing debt levels
  • Producing reports and spotting trends
  • Supporting and helping the wider team develop confidence in financial processes

What we’re looking for

  • Someone who enjoys client interaction and building rapport
  • A calm, professional communicator - especially when discussing finances
  • Strong attention to detail and a methodical approach
  • Logical thinking and good organisational skills
  • Someone who takes ownership and follows things through

The environment

We work in a busy veterinary setting where no two days are quite the same.

Clients can sometimes be dealing with stressful situations, so conversations around finances need to be handled with empathy, clarity and reassurance. At times, things can move quickly - but you’ll be supported by a team that works together and has each other’s back.

What success looks like (first 3 - 6 months)

  • Taking ownership of the insurance process
  • Keeping debt within agreed target levels
  • Confidently managing client accounts end-to-end
  • Building strong working relationships across the team

Training & support

  • Structured onboarding
  • Shadowing with experienced team members
  • 1:1 support
  • Gradual increase in responsibility as you build confidence

Systems

RX Works, insurance portals, credit platforms, Pets at Home systems, Microsoft Teams/Excel

Hours & flexibility

  • 40 hours, weekdays
  • Flexibility with start and finish times after probation

You’ll play a key part in reducing confusion around veterinary finances, helping clients feel more informed and supported, and enabling the clinical team to focus on patient care.
