Description

Worcester Recovery Center and Hospital (WRCH) operated by the Department of Mental Health (DMH) is seeking an experienced Clerk III to work in the Health Information Department/Medical Records Department. The Clerk III will perform all the duties associated with the position including the main duties being answering the phones, routing messages, maintaining Medical Records, performing other duties such as typing, photocopying, faxing, data entry, etc. Please Note: This is a full-time, 37.50 hour a week position. The schedule is Monday-Friday, 9:00 AM – 5:00 PM. Duties and Responsibilities (these duties are a general summary and not all inclusive):Analyzes inpatient medical records on the on the unit at prescribed time intervals to assure that all WRCH, JOINT accreditation and CMS certification documentation requirements are met.Composes written communications to the professional staff and discipline chiefs to enlist cooperation in correction of documentation deficiencies; communicates face –to face with professional staff.Compiles and disseminates statistical information concerning medical record deficiencies.Enters all client status changes – e.g., admissions, discharges, visits, AWA’s, transfers, returns (from visit, or AWA) and legal status changes into all medical record department databases and generates the census reports for all hospital distribution.Performs discharge record analysis and assembly.Performs concurrent record analysis. Greets department visitors; assists with their requests; and refers visitors to appropriate departments when necessary.Answers telephone: assists callers with their questions or forwards calls appropriately.Requests CORIs and maintains CORIs according to policy. Sends Continuing Care Packets out according to procedure. Files loose paperwork daily. Retrieves medical records/MPI information from warehouse storage locations. Orders / maintains office supplies; handles emergency repair requests and writes up work orders.Required Qualifications:Read, comprehend and explain WRCH policies, Joint Commission and CMS standards and HIPAA policies related to medical record documentation and confidentiality requirements.Communicate respectfully and effectively, both orally and in writing.Maintain accurate records.Concentrate on detailed work in a noisy, crowded work environment (inpatient units).File and work accurately with names, numbers and symbols.Customer Service skills. Preferred Qualifications:American Sign Language (ASL)Given the population served, bilingual or multilingual fluency. Microsoft Excel proficient. Electronic Health/Medical Records experience. Located on over 20 acres in Worcester, Massachusetts, Worcester Recovery Center and Hospital (WRCH) is part of an integrated network of effective, efficient, and culturally competent mental health services. It provides intermediate and long-term inpatient care for individuals with serious and persistent mental illness who live in Massachusetts, as well as individuals requiring specialized court ordered evaluations.WRCH provides inpatient services to 290 adults and 30 adolescents, inclusive of a Deaf Inpatient Mental Health Service program for 10 patients. Qualifications

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*

  • Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

Salary placement is determined by a combination of factors, including the candidate’s years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division’s Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
