Reporting to the Manager Health Services, Community Health Services, the incumbent provides general administrative support for Community Health programs. This includes: switchboard/reception, word processing, data entry and quality assurance, maintaining spreadsheets, creating and updating shared calendars/schedules, and/or distributing incoming and outgoing mail or fax documents, photocopying, filing and records maintenance, statistical data collection, monitoring and receiving inventory, distributing office and medical supplies, booking appointments and meeting rooms, maintaining a daily staff away/coverage list, and a variety of other office duties as required.

The incumbent must contribute to a respectful work environment and participate in workload sharing and coverage within the administrative support team for the assigned site(s) and service area(s).

Experience

  • Two years related experience required, i.e., Administrative experience in a health care office setting.
  • Experience with email and computerized calendars required.
  • Data entry experience required. Experience in performing quality checks preferred.
  • Experience maintaining records and compiling statistics.
  • Excellent communication skills with switchboard/receptionist experience.
  • Demonstrated knowledge and experience maintaining a filing system.
  • Experience in general office procedures and working with basic office equipment, e.g., fax, photocopier.

Education (Degree/Diploma/Certificate)

  • Complete high school education, Manitoba standards, required.
  • Formal post-secondary education in applied office skills required.
  • A combination of education and experience may be considered.

Qualifications and Skills

  • Keyboarding speed of 50 wpm required.
  • Demonstrated understanding and ability to work with medical terminology preferred.
  • Demonstrated proficiency in Microsoft Word, Excel and Outlook required.
  • Working knowledge of Microsoft Access and PowerPoint preferred.
  • Demonstrated proficiency in the use of the English language (both oral and written).
  • Demonstrated ability to record and prepare minutes and agendas.
  • Demonstrated ability to work effectively with staff and the public in person and via telephone.
  • Demonstrated ability to follow written and oral instructions.
  • Demonstrated ability to effectively work as a team member.
  • Demonstrated ability to maintain confidentiality.
  • Demonstrated ability to plan and organize a heavy workload, under pressure, to meet deadlines.
  • Demonstrated attentiveness to detail, accuracy.
  • Demonstrated ability to work independently, with minimal supervision.

Physical Requirements

  • Physically able to lift and carry equipment weighing up to 20 lbs.
  • Physically capable of providing service in a wide variety of community settings under varying weather and environmental conditions.
  • Satisfactory Adult & Child Abuse Registry check and Criminal Record check required (valid is completed within past 6 months).
  • Subject to immunizations and tuberculin testing as per WRHA Policy.

This Indefinite Term may expire subject to one (1) weeks’ notice.

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.

Please note that an employee is not permitted to hold two or more positions across the WRHA legal entity that combine to equal more than 1.0 EFT. The WRHA legal entity includes Churchill Health Centre, Deer Lodge Centre, Golden Door Geriatric Centre, Golden West Centennial Lodge, Grace Hospital, Middlechurch Home of Winnipeg, Pan Am Clinic, River Park Gardens, Victoria General Hospital, WRHA corporate programs, and WRHA community health services.
