Examples of duties

This position supports the Nursing Services Department by managing clerical tasks that keep units supplied, organized, and operating smoothly. The work helps maintain accurate records, timely communication, and proper distribution of materials. As a Clerical Assistant 2, you will perform the following duties:

  • Mail Processing: Collect, sort, process and distribute mail and newspapers to units and residents
  • Supply Requests: Submit requisitions for supplies and equipment and maintain inventory at required levels
  • Packet Assembly: Assemble admission, transfer, death and accident report packets for nursing staff
  • Record Maintenance: Purge medical records, copy and post schedules and distribute needed documentation
  • Resident Support: Make arm bands, manage appointment schedules and arrange telephone and cable services
  • Communication Tasks: Answer calls, route messages, complete copying, typing and faxing tasks

Work Schedule and Additional Information:

  • Full-time employment, 37.5 hours per week.
  • Work hours are 7:30am to 3:30pm, Monday-Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,831 (before taxes).

Qualifications

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 ( Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.


Additional Requirements:

  • You must be able to perform essential job functions.


Preferred Qualifications (not required):

  • Previous experience performing clerical duties.
  • Previous experience working in Microsoft Excel.
  • Previous experience working in a long-term care or large healthcare facility.


Legal Requirements:

  • A conditional offer of employment will require a medical examination.
  • This position falls under the provisions of the Older Adult Protective Services Act.
    • Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
