
Greenwood Memorial Park & Mortuary in San Diego, CA is a historic and trusted funeral home and cemetery dedicated to serving families with compassion, professionalism, and exceptional care. Our administrative team plays a vital role in ensuring accuracy, efficiency, and seamless coordination across funeral, cemetery, and office operations.
We are seeking a highly organized, detail-driven Clerical & Administrative Specialist II who can balance structured administrative work with warm, empathetic service to families. This position supports both front-office and back-office functions, including contract processing, financial documentation, vendor coordination, and daily office operations.
The ideal candidate thrives in a fast-paced environment, enjoys working with numbers and documentation, and brings a calm, professional presence when interacting with grieving families and internal departments.
Responsibilities
Accurately post contracts and ensure all required documents, payments, and aftercare tasks are completed.
Process contract amendments, including pricing adjustments, service changes, and internal updates.
Issue refunds in accordance with company protocols and documentation standards.
Prepare and post write-offs following proper approval workflows.
Maintain complete, compliant digital and physical case files for funeral and cemetery operations.
Review, code, and submit vendor invoices for timely payment.
Coordinate with internal departments to resolve discrepancies or missing documentation.
Assist with credit card reconciliation, including receipt collection and transaction tracking.
Support internal audits by organizing and providing required documentation.
Maintain exceptional accuracy in all financial entries to reduce errors and rework.
Answer and route incoming calls with professionalism, empathy, and clarity.
Greet and assist families visiting the funeral home or cemetery office; direct them to appropriate staff or provide immediate support.
Receive payments for services, merchandise, or property; issue receipts and follow cash-handling procedures.
Provide compassionate, service-oriented support to families during sensitive and emotional moments.
Compensation: $22-25/hr.
Qualifications
5+ years of administrative or clerical support experience.
Strong attention to detail, especially with numerical accuracy and data entry.
Ability to manage confidential and sensitive information with discretion.
Comfort working in a funeral/cemetery environment and interacting with grieving families.
Proficiency with Microsoft Office; experience with HMIS/Archimedes is a plus.
Excellent communication and interpersonal skills.
Strong organizational habits and ability to prioritize multiple tasks in a fast-paced setting.
Valid driver’s license.
Receptionist or front-desk experience preferred.
