Position Summary
The Church Administrator serves as the lead business and administrative professional of the church, integrating financial management, office operations, communications, and facility coordination. This position is a vital ministry role and is often the first point of contact for members, visitors, vendors, and the broader community.
The Church Administrator performs and oversees all administrative and clerical functions while providing high-level coordination, supervision, and operational leadership.
Essential Job Functions & Responsibilities
1. Financial Administration
- Perform bookkeeping and financial recordkeeping using accounting software
- Prepare weekly deposits and record contributions
- Process invoices and ensure timely payments
- Interface with payroll providers
- Generate financial reports that meet the needs of the Church Treasurer and the Property and Finance Committee
2. Facilities & Operations Management
- Administer the rental activities of the church properties including processing applications from potential renters, responding to requests for rentals in a timely manner, and drafting one time or annual Facility Use Agreements for each request
- Serve as the primary point of contact with both long-term and one-time renters to make sure that the facilities are used as agreed to and that payments are received on time
- Coordinate facility uses, including scheduling, setup, and cleanup
- Maintain key inventory and ensure proper facility access control and resolve conflicts related to space, scheduling, and resource usage
- Work with vendors, contractors, and service personnel (including insurance and compliance requirements)
- Supervise Church Custodian and oversee custodial operations with pastoral oversite
- Monitor church property and coordinate maintenance needs with the Property and Finance committee
- Ensure proper documentation (insurance certificates, contracts, etc.) is maintained for all renters
3. Administrative & Office Operations
- Serve as receptionist: handle phone calls, visitors, mail, and general inquiries
- Provide administrative support to Pastor, Session, and ministry leaders
- Maintain organized office systems, files, and records (digital and physical)
- Operate and maintain office equipment (copiers, printers, computers, etc.)
- Manage and maintain office supply inventory and order supplies as needed
- Supervise office volunteers and support staff where applicable
- Maintain the master church calendar and coordinate all events
4. Communications & Publications
- Prepare and publish weekly church bulletins and special inserts
- Develop and distribute church-wide communications (mailings and emails)
- Communicate event information to congregation, staff, and ministry leaders
- Produce the monthly newsletter (Messenger) and Annual Report
- Draft correspondence on behalf of church leadership as requested
- Maintain and update the church website and social media platforms
5. Membership Records & Database Management
- Maintain and update church membership database and records
- Produce directories, mailing labels, and statistical reports
- Track and update contribution records in coordination with financial systems
6. Compliance & Records Management
- Maintain official church records and Session documentation
- Coordinate with Clerk of Session and leadership on documentation and reporting
- Maintain confidentiality of all church records and communications
Perform other duties as assigned
Relationships & Accountability
- Report to the Pastor as Head of Staff
- Accountable to the Session through the Personnel Committee
- Work closely with the Pastor, Church Treasurer, Clerk of Session, ministry leaders, and volunteers
- Maintain positive relationships with congregation members, vendors, and community partners
- Maintain discretion, professionalism, and a servant leadership mindset
QUALIFICATIONS
- Proficiency in using computer software and related applications for word processing, publishing, spreadsheets, websites, social media platforms, and databases. Programs currently used at this church include Microsoft Word, Excel, Canva, Constant Contact, ProPresenter, WIX Website, Facebook, and Power Church Plus (database)
- Experience with accounting Quick Books software and financial processes
- Strong organizational and recordkeeping skills
- Excellent written and verbal communication skills
- Ability to multitask, prioritize, and meet deadlines independently
- Strong interpersonal skills with diverse populations
- Ability to supervise staff and coordinate volunteers
- Experience operating office equipment and troubleshooting basic issues
TERMS OF EMPLOYMENT
- Non-exempt position under California labor law
- Year-round position
- Typical schedule: 20 hours per week (may vary based on workload)
- Compensation and benefits consistent with church personnel policies
- Hourly range $25 to $30 per hour based on qualifications and experience
