Our client is a venture studio building and operating multiple companies across technology, AI software, and electronics distribution. They are currently looking to hire a
Chief of Staff.

Role Overview

This is a high-trust, high-output role working directly with the Founder & CEO. The ideal candidate will help keep multiple entities moving, step in to execute urgent tasks, and act as the operational “force multiplier” for the founder.
Also, as Chief of Staff, you will help manage multiple business entities, operate the founder’s inbox and calendar, drive execution across priorities, and ensure each company is progressing as specified. You’ll also support business and personal tasks, provide reminders, and fill in for the CEO when he’s not available.

Growth:

This role is a hands-on apprenticeship in operating and scaling multiple companies, with a clear path into a senior management role within one of the company's businesses.

Key Responsibilities

1) Founder Support & Execution
● Work directly with CEO on daily priorities across business and personal tasks
● Step in and “just get it done” when something needs to be handled urgently
● Fill in for CEO when he’s unavailable (status updates, follow-ups, moving projects forward)
● Provide reminders and keep CEO on track with deadlines and commitments
2) Company Operating Rhythm
● Ensure all companies are progressing as specified (weekly goals, KPIs,deliverables)
● Maintain a simple execution system (task tracker, weekly review, status reporting)
● Identify blockers early and drive them to resolution
● Hold owners accountable and ensure next steps are always clear
3) Inbox + Communications Management
● Manage emails: triage, draft responses, follow up, and keep threads moving
● Maintain clear communication with vendors, partners, customers, and internal team members
● Keep documentation organized and searchable (notes, decisions, SOPs)
4) Meetings + Scheduling
● Manage the CEO’s calendar across multiple entities
● Schedule meetings, confirm agendas, and ensure outcomes + action items are captured
● Prepare briefs before meetings and recap notes + next steps after
5) Operations + Admin
● Data entry and operational upkeep (CRM updates, spreadsheets, internal trackers)
● Build lightweight processes so recurring work becomes repeatable and fast.
6) Finance Support (Non-CPA / Ops Assistance)
● Help with managing finances: tracking invoices, bills, budgets, and cash flow visibility
● Maintain basic financial dashboards and expense categorization
● Coordinate with accountants/bookkeepers as needed (sending docs, gathering info)

What Success Looks Like (First 60–90 Days)

● CEO’s inbox and calendar are clean, prioritized, and under control
● Each company has a weekly plan and a visible “scoreboard” (progress, blockers, due dates)
● Projects move without CEO's having to push them constantly
● You reliably handle urgent tasks end-to-end with minimal supervision
● Weekly operating cadence is established: planning → execution → reporting →review

Ideal Candidate Profile

● Extremely organized, proactive, and comfortable with ambiguity
● Strong written communication (clear, concise, professional)
● High follow-through: you close loops and don’t drop balls
● Comfortable working long hours and switching contexts quickly
● Strong spreadsheet skills (tracking, dashboards, data entry)
● High integrity and discretion (you’ll see sensitive information)
● Bonus: operations experience, EA/CoS background, startup exposure, finance ops familiarity
