Job Description

To provide high-level executive support to the Principal, ensuring seamless management of personal and professional responsibilities. The Executive Assistant will play a critical role in enabling the Principal to focus on strategic priorities by overseeing daily operations, managing communications and coordinating with a wide range of stakeholders. The ideal candidate is proactive, detail-oriented, and capable of handling confidential information.
Hours:-   Full-time with flexibility beyond standard working Location:-   Mumbai (approx 6 months), London (3 months), global travel (3 months) Salary:-   Generous salary package dependent upon experience  Start Date:-   ASAP Interviewing:-   ASAP
Responsibilities include, but not limited to: Meeting Management
  • End-to-end management of the Principal’s calendar by coordinating across multiple teams.
  • Ensure the Principal is fully prepared for internal and external meetings.
  • Manage schedule and track follow-ups with both professional and personal staff.
  • Draft agendas, review documents, and circulate MOMs with reminders when required.
Logistics Coordination
  • Manage complex local and international travel itineraries (private aviation, hotels, drivers, security, chefs, etc.).
  • Supervise personal staff for travel and ensure smooth execution.
  • Organize the Principal’s social calendar, including events, dinners, large gatherings, and special occasions.
  • Manage properties across multiple geographies and coordinate with their staff.
  • Oversee readiness of all residential properties across multiple geographies — coordinating with household staff, security, and service providers to ensure seamless comfort and standards are met for every stay.
Stakeholder Management & Communication
  • Coordinate communication and engagement with all key people in the Principal’s life including family, friends, business associates, and social or professional contacts ensuring thoughtful relationship management and continuity.
  • Coordinate across departments to drive projects and events to completion.
  • Prepare the Principal for events by coordinating with stylists, designers, and other key stakeholders.
  • Coordinate speeches, letters, public and personal communication and gifting.
  • Prepare status reports and coordinate with multiple stake holders for projects and events.
Finance Management
  • Oversee and track all expenses across personal, professional, and household domains.
  • Consolidate financial records from multiple team members and staff, ensuring accuracy and timely reporting.
  • Maintain oversight of budgets for travel, events, properties, and special projects.
  • Flag anomalies, track reimbursements, and ensure cost efficiency without compromising quality.
Other Assistance
  • Attend meetings in the Principal’s absence.
  • Travel domestically and internationally (with or without the Principal) to oversee arrangements and ensure execution.
  • Operational Support: Support daily business operations, including office management, expense tracking, and vendor coordination as needed.
  • Stakeholder Engagement: Build and maintain strong relationships with key stakeholders, both personal and professional.

Candidates must be / have:
  • 5+ years of relevant experience as an Executive Assistant, Chief of Staff, or in a similar capacity supporting senior leadership.
  • Exceptional organisational and multitasking abilities.
  • Excellent verbal and written communication skills in English; proficiency in other languages is an advantage.
  • High level of discretion and integrity in handling confidential information.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
  • Ability to work independently, prioritise tasks, and adapt to changing priorities.
  • Strong interpersonal skills and a collaborative mindset
