What you’ll do:

Responsibilities:

The Chief of Staff will provide high-level administrative, operational, program management, governance, and strategic support to the Director of GTS Pune. This role requires exceptional organizational agility, strong judgment, and the ability to manage dynamic priorities in a fast-paced environment. The ideal candidate operates with professionalism, discretion, and a proactive, solution-oriented mindset while partnering closely with internal and external stakeholders.

Executive & Strategic Support

  • Manage and optimize the complex calendar, including prioritizing engagements, resolving conflicts, and ensuring complete preparedness for all meetings.
  • Coordinate domestic and international travel, including itinerary planning, logistics, and expense reconciliation.
  • Prepare, review, and refine executive-level presentations, documents, reports, and briefing materials.
  • Maintain strict confidentiality while managing sensitive business, financial, and personnel information.

Business Operations & Coordination

  • Support and coordinate business reviews, operating rhythms, QBRs, leadership meetings, and cross-functional checkpoints.
  • Coordinate governance forums (SteerCos, program reviews, executive reviews)
  • Track and follow up on action items, deadlines, and commitments for the leader and extended leadership team.
  • Assist in managing departmental priorities and ensuring alignment across GTS, Pune Site and adjacent functions.
  • Coordinate internal events, leadership offsites, cross-functional initiatives, and stakeholder communications.

Program Management

  • Support the execution of strategic programs, initiatives, and workstreams owned by the leader.
  • Develop and maintain program plans, schedules, deliverables, risk and issue logs, and progress trackers.
  • Monitor key program milestones, escalate issues proactively, and ensure dependencies are addressed.
  • Drive cross-functional collaboration with teams across Professional Services, HR, Finance, Operations, and other business units.
  • Prepare program dashboards, status updates, and leadership reporting.

Governance & Compliance

  • Ensure adherence to internal governance frameworks, approval workflows, compliance requirements, and documentation standards.
  • Support creation and maintenance of SOPs, decision logs, meeting records, and cadence documentation.
  • Coordinate activities related to audit readiness, regulatory compliance, and internal policy adherence (travel, procurement, expenses, vendor processes).
  • Work closely with Legal, Compliance, and Finance teams to ensure timely submission, review, and approval of required documentation.

Administrative Excellence

  • Manage end-to-end meeting processes including agenda planning, pre-reads, minutes, action logs, and follow-through.
  • Partner with procurement and vendor management teams for event logistics, budgets, contracts, and vendor coordination.
  • Manage documentation, approval flows, and internal systems such as travel tools, expense platforms, and procurement portals.

People & Stakeholder Engagement

  • Serve as the primary point of contact for the leader, ensuring smooth communication with internal teams, customers, partners, and external vendors.
  • Support hiring coordination, including interview scheduling, candidate communication, and onboarding preparation.
  • Help HR and leadership teams with communication drafts, organizational updates, and support during HR cycles.

  • Organizational Mastery: Ability to manage multiple priorities and anticipate needs in a fast-paced environment.
  • Program & Project Coordination: Experience maintaining structured plans, tracking deliverables, and supporting cross-functional execution.
  • Governance & Compliance Orientation: Understanding of corporate compliance frameworks, approval workflows, and documentation controls.
  • Time Management: Ability to handle dynamic workloads with a high degree of accuracy and efficiency.
  • Problem-Solving & Judgment: Strong decision-making capability and comfort navigating ambiguity.
  • Stakeholder Management: Demonstrated ability to interact confidently with senior leaders and external partners.
  • Technical Proficiency:
    • MS Office Suite (PowerPoint, Excel, Word)
    • Outlook & Microsoft Teams
    • Travel/expense systems (Concur, SAP, or equivalent)

What You Need To Bring :

Preferred Qualifications

  • 6–12 years of experience supporting senior leaders (Director/VP/CXO) in global, technology, consulting, or support environments.
  • Proven experience managing executive-level communication, presentations, business rhythms, governance processes, and program support.
  • Strong ability to operate independently, manage complex tasks, and coordinate cross-functional initiatives.
  • Prior experience in Professional Services, Consulting, IT Services, or CEC environments is an advantage.
