Job Description

The Check Control Supervisor directs, coordinate, and ensure that all checks received by the Dallas Tax Operations (DTO) teams are secure and dispositioned accurately and timely. This position is responsible for the control and timely distribution of all checks that are designated for taxing agencies nationwide. Ensure that the appropriate mailing method is used to deliver payments via Federal Express, First Class Mail, Priority Mail or Regular Mail. This position is also responsible for all incoming mail.

Check Control

  • Provides a safe and secure environment for all LERETA, Client and Taxing Agency checks, including receipt and disposition of returned checks, refunds and any other checks received by DTO
  • Ensures accurate printing and reconciliation of checks against remittance information
  • Ensures the timely and accurate delivery of tax payments to the correct taxing agencies within the allowable timeframe
  • Collaborates and works closely with DTO Payments, Refunds, Client Care and Redemptions teams to effectuate the on-time payment of client’s tax bills and the correct disposition of checks returned to LERETA
  • Develops and implements productivity and quality tracking tools and associated metrics
  • Ensures daily and timely Cashier Check Transmission files to the bank
  • Assists staff with questions and issues that may arise about collector payments and correspondence.

Incoming/Outgoing Mail

  • Oversees the processing of all incoming mail and packages which requires (in some cases) physically distributing items to the appropriate staging area as well as internally delivering items to various departments
  • Oversees the processing of all outgoing mail and packages which includes operating the postage metering machine and ensuring appropriate postage is applied to the mail and packages to avoid delays
  • Schedules and manages tracking for UPS, FedEx etc. outgoing and incoming packages and ensures all package deadlines are met
  • Coordinates courier service for all departments, confirms tracking information and monitors pick-up and delivery to ensure timely processing

Leadership Responsibilities

  • Hires, trains, and develops associates providing career pathing, mentoring and coaching
  • Creates a transparent and accountable team driven to exceed client expectations
  • Conducts performance reviews timely and thoroughly; manages performance concerns swiftly and with the intention of improving performance
  • Work closely with Accounting Partners
  • Maintains client relations by monitoring team performance towards SLAs, addressing client needs promptly, and by acting as an advocate for the client’s customers
  • Manages and control assigned special projects in accordance with the Business Partner requirements.
  • Participates in cross training for the team
  • Conducts performance reviews timely and thoroughly, manages performance concerns swiftly and with the intention of improving performance
  • Mentors and motivates staff to ensuring extraordinary service is providedTakes the initiative to communicate with staff and encourage feedback ensuring knowledge of any issues or suggestions for improvement of processes
  • Escalates issues to the appropriate department/vendor in a timely manner to ensure prompt resolution of all issues
  • Responds with urgency to all requests and issues from both internal and external customers

This position will perform other duties as assigned based on the needs of the department.

Required Education & Experience

  • 3+ years related experience
  • High School Diploma or equivalent

Preferred Education & Experience

  • Bachelor’s Degree or equivalent
