Job Description

Provides administrative, operational, and ministry support for Chapel programs and services. Coordinates chapel activities, events, and departmental operations; manages schedules, records, communications, and related administrative functions; and supports the delivery of Christian education and youth ministry programming. Supervises and develops Iona Project Chapel Specialists and student workers through training, planning, mentoring, and spiritual formation while ensuring a safe, organized, and effective ministry environment.

Job Duties:

  • Maintain administrative records, files, logs, travel documentation, and archived resident records in accordance with program requirements.
  • Manage the Chaplain’s calendar, coordinate schedules and events, and ensure timely communication of priorities and activities.
  • Serve as the primary point of contact for incoming calls, correspondence, and information requests, routing inquiries appropriately.
  • Coordinate and document meetings, including scheduling, minute-taking, room setup, refreshments, and audiovisual support.
  • Plan and coordinate chapel ceremonies, special events, and visits from external ministry groups.
  • Provide administrative and operational support to Chapel staff, including correspondence, research, document preparation, and directory maintenance.
  • Coordinate travel arrangements, reimbursements, budget tracking, recordkeeping, supply inventory, and purchasing activities.
  • Supervise student workers and provide leadership, training, and oversight for Iona Project chapel specialists.
  • Support the administration of Christian education and youth ministry programs, including devotionals, Sunday school, youth groups, retreats, service projects, and special events.
  • Promote resident spiritual development and program safety by providing guidance, coordinating ministry activities, ensuring adherence to childcare protocols, and maintaining positive resident interactions.

Requirements

1. A high school diploma or GED equivalency is required.

2. An Associate degree in a business-related field or completion of college courses in a business-related field is preferred.

3. A minimum of 2 years secretarial or administrative assistant experience is required.

4. Proficiency in Microsoft Office for Windows applications (word processing, database, spreadsheet, e-mail, presentation graphics, etc.) is required.

5. A minimum of 45 wpm typing speed is required.

6. Proficiency in general office equipment operation is required.

7. Must possess exceptional time management and detail-orientation skills.

8. Must be at least 21 years of age.

9. Bending, lifting, grasping, fine hand/eye coordination, pushing/pulling, prolonged sitting/standing.

10. Must possess a valid Texas driver’s license.

11. Must be available for travel as needed.
