Job Description

The Certified Phlebotomy Technician (CPT) Group Lead will act as the point of contact for PSC employees and CPT Lead (site lead). They will assist in training and competency assessment. They will cover shifts in the PSC as needed to support staffing. They will assist the PSC Supervisor in managing employee schedules, patient and client concerns, quality metrics, scheduling and time cards, training initiatives, and safety measures. This is not an exhaustive statement of duties, responsibilities, or requirements. Employees will be required to perform any job, with related instruction given by their supervisor, subject to reasonable accommodation.

  • PSC Coverage (bench time)
  • As needed, the Group Lead (GL) will assist in site coverage for pre-approved and unplanned employee time off work. The GL will perform all aspects of a PSC phlebotomist and must be capable of covering a site on their own. The GL will serve as a subject matter expert and super user.
  • The GL will collect laboratory specimens, research test orders, perform patient registration and order entry, maintain document management related to order entry and billing. The GL will perform specimen processing and batch management. The GL will complete department related clerical duties such as inventory and stock management. The GL will document all PSC maintenance logs and record keeping. The GL may perform supply inventory and procurement
  • The GL must be available to open and close a PSC. (25%)
  • Staffing and Scheduling
  • In partnership with the Supervisor, the Group Lead (GL) will assist in creating daily, weekly and monthly schedules including holidays and weekends. The GL may take part in time-off approvals and coverage.
  • The GL will provide staffing coverage for pre-approved and unplanned employee time off work, and may work the location themselves.
  • The GL will assist the Supervisor to ensure employee work hours are documented accurately and in a timely manner in the time card management system. (25%)
  • Training, Observation and Competency Evaluation
  • The Group Lead (GL) will read, understand and comply with departmental policies, protocols and procedures. The GL will ensure all staff members follow established procedures and instructions.
  • The GL will act as a coach, mentor, instructor and resource advisor for employees. The GL will participate in new employee orientation and training.
  • The GL will assist the Supervisor with the implementation of procedures and the distribution of technical information and communication to the work groups.
  • The GL will provide input on the performance evaluations for PSC employees. (20%)
  • Supervisor and Organization Support
  • The Group Lead (GL) will cover for the Supervisor when the Supervisor is unavailable.
  • The GL will serve as a point of contact for employees and provide regular input to the Supervisor. The GL will stay up to date on company communications.
  • The GL will partner with the Supervisor to assist in the process of setting up new offices for PSC locations. The GL will address patient inquiries and investigate Client Initiated Concerns (CIC).
  • The GL must communicate professionally with clients to resolve (or refer) concerns and prepare problem resolution documentation and report critical issues as they occur.
  • The GL will participate as needed on special projects and teams. (15%)
  • PSC Environmental Assessments and Audits
  • In partnership with PSC employees, the Group Lead (GL) will ensure all PSC temperature and maintenance logs are maintained and current.
  • In conjunction with the Supervisor, the GL will perform monthly PSC and safety audits. The GL will ensure facilities are neat, clean and in good repair, and takes appropriate action to advise Supervisor of required repairs and maintenance.
  • The GL will ensures staff is following all safety precautions. (10%)
  • Metrics and Management of Quality Reports
  • The Group Lead (GL) will assist the Supervisor with the collection of daily metrics such as patient wait times and patient counts.
  • The GL will assist the Supervisor with compilation and submission of monthly statistics and data.
  • In partnership with Supervisor, the GL may investigate daily and monthly quality reports and work to develop training & coaching plans for employees requiring performance improvement. (5%)

LEVEL OF EDUCATION

Preferred:

  • Knowledge of Excel and Microsoft Suite

CERTIFICATIONS, LICENSES, REGISTRATIONS

Minimum:

  • California State CPT license-active California State Driver's License and a clean driving record

TECHNICAL REQUIREMENTS

Minimum:

  • Knowledge of hospital or medical based Laboratory Information System (LIS) Knowledge of medical billing requirements. Knowledge of medical office or laboratory operations.

Preferred:

  • Advanced Phlebotomy skills including geriatrics and pediatrics. Knowledge of CottageOne Order Entry or Req Entry. Knowledge of Patient Service Center (PSC) operation.

YEARS OF RELATED WORK EXPERIENCE

Minimum:

  • 3 years of phlebotomy experience in a PSC or in an outreach laboratory or medical setting

Preferred:

  • CPT Lead or Lead of an alternate department

  • Must be knowledgeable of the operational requirements for the Patient Service Center locations, including billing practices. Must be knowledgeable of general Laboratory functionality. Must be capable to making decisions based on established procedures and remain in alignment with the organization's Core Values of Excellence, Integrity, and Compassion. Must be able to demonstrate critical thinking skills.
  • Must be capable of handling multiple priorities in a high volume setting. Must demonstrate successful collaboration and problem solve skills in partnership with alternate departments including the Core Laboratory, the Sales department, Client Services, Logistics, and the Billing and Finance departments.
  • Must interact with colleagues and leaders in a positive, effective, and professional manner. Must demonstrate Cottage Health's values of Excellence, Integrity and Compassion at all times. Must handle all sensitive information in a confidential manner. Must possess strong verbal and written communication skills.
  • Must have and maintain reliable transportation, a valid driver license, and a clean driving record. The position will require travel and flexible hours, and will require work at multiple locations with minimal notice.
