Job Description
Primary objective of the job:
The Program Manager supports the Chief of Staff in translating strategic intent into operational reality across the organization. The role manages governance forums, execution cadences, project tracking, and intelligence synthesis.
Main Duties and Responsibilities:
Governance Forum Management
- Plan, coordinate, and service all CoS-led governance forums including monthly Operating Reviews, quarterly strategic alignment sessions, and ad-hoc briefings
- Own agendas, pre-reads, minutes, action logs, and follow-up tracking
- Ensure no forum lacks structure or discipline
Operating Cadence Execution
- Maintain and actively drive the Operating Calendar
- Coordinate recurring touchpoints with Country CEOs, Group SLT Members and their respective teams
- Alert the upcoming decision points, briefing requirements, and cadence lapses
- Keep the engine running without prompting
Project Portfolio Tracking
- Maintain the Key Strategic Projects Register across all active CoS-led or CoS-governed initiatives
- Track progress, escalations, risks, and interdependencies
- Surface decision-ready updates to the CoS
- Flag RAG status changes and projects at risk of falling through the cracks
Intelligence Synthesis & Document Production
- Transform raw inputs from Country teams, functional heads, and market data into decision-ready packages.
- Draft executive briefings, board reports, principal pre-reads, and strategic summaries.
- Ensure formatting, tone, and substance are at principal-ready standard
Stakeholder Coordination
- Manage coordination with Country CEOs and C-Suite direct report offices on behalf of the CoS
- Liaise with the EA/PA network on diary management, travel, and meeting logistics
- Ensure the CoS is always briefed, prepared, and never surprised
CEO office register
- Maintain all CEO Office tools, registers, trackers, and operating artefacts
- Continuously improve templates, tracking logs, and governance documents
- Manage document versioning, filing conventions, and CoS Office knowledge management
Academic Qualifications and Experience Required:
- Bachelor's degree in program management or any other related discipline
- 6 years of experience in program management
- Execute office coordination, or governance in a complex, multi-country environment
- Prior exposure to a CEO Office, or equivalent senior office is strongly preferred
- Familiarity with governance frameworks, board reporting, and cross-functional project management is essential
