The Centralized Scheduler schedules patients for outpatient diagnostic testing and procedures within University of Louisville Healthcare. The scheduler obtains and verifies patient demographics and insurance coverage information and checks diagnoses for Medicare compliance. The employee instructs patients regarding pre-procedure clinical preparations, maintains files, answers phone calls and sends and receives fax transmittals. The employee ensures that the clinical department leadership is informed of requests for test results by coordinating tasks with the Office Clerk.

Essential Functions:

  • Accurately schedules patient appointments and completes scheduling process in a timely manner
  • Documents special instructions and information relative to insurance, compliance checker, etc.
  • Assumes responsibility for following compliance guidelines with federal, state and local regulations within the department
  • Answers the phone within 3 rings, stating name, department, and/or job title, and asking, “How may I help you?”
  • After appointments have been scheduled, for verification purposes, repeats the following information back to the customer: name of procedure that was scheduled, date and time of appointment, and the time that the patient should arrive at the hospital
  • Takes steps to avoid scheduling errors and reschedules errors that occur using conflict scheduling principles
  • Organizes the work area for efficient and maximum productivity
  • Transmits all patient documents accurately and in a timely manner

Other Functions:

  • Maintains knowledge of procedures, times preparations, locations, physicians performing specific procedure and any special instructions associated with any procedure; takes responsibility for maintaining accountability for improving job knowledge and skills
  • Maintains a professional image and observes “On-Stage” and “Off-Stage” behaviors,; ensures all “Off-Stage” behaviors (personal conversations, use of telephone, eating, etc.) are kept
  • Supports goals of department/organization by working as a team player enhancing team effectiveness, supporting and assisting team members, the department and/or the organization.
  • Maintains compliance with all company policies, procedures and standards of conduct
  • Complies with HIPAA privacy and security requirements to maintain confidentiality at all times
  • Performs other duties as assigned

Additional Job Description:

Education:

  • High School Diploma or GED/ equivalent (required)

Experience:

At least one (1) year of hospital or clinical scheduling experience (preferred)
