POSITION SUMMARY
The Central Supply role manages the receipt, storage, distribution, and tracking of supplies, instructional materials, and equipment for the college. This role ensures accurate inventory control, timely delivery of materials to faculty and staff, and compliance with institutional policies. The Specialist plays a key part in supporting academic operations by maintaining efficient supply chain processes and safeguarding institutional resources, as well as assisting in events. The position will be split evenly between responsibilities in Central Supply and event support, with approximately half the time dedicated to each area.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Receive, inspect, and document incoming shipments, verifying accuracy against purchase orders and packing slips.
- Coordinate the distribution of instructional materials, lab supplies, and office equipment to faculty, staff, and campus departments.
- Maintain accurate inventory records through the institution’s inventory management system.
- Conduct regular cycle counts and reconcile discrepancies to ensure accountability.
- Prepare, package, and process outgoing shipments, ensuring accuracy and timeliness.
- Organize and maintain the central supply area, ensuring materials are accessible, labeled, and secure.
- Track usage trends and make recommendations for supply reorders to avoid shortages.
- Collaborate with academic departments to forecast supply needs for courses and labs.
- Ensure compliance with institutional policies, vendor agreements, and safety standards in the handling and storage of materials.
- Generate inventory, shipping, and receiving reports for management as needed.
- Provide support for special campus projects and events requiring equipment or supply coordination.
- Perform other related duties as assigned.
QUALIFICATIONS KNOWLEDGE AND SKILLS
- Strong organizational and time-management skills with attention to detail.
- Ability to lift and move packages and equipment safely.
- Knowledge of shipping methods, carriers, and logistics processes.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with inventory management systems.
- Strong communication skills with the ability to work effectively with faculty, staff, vendors, and students.
- Ability to prioritize tasks in a fast-paced environment and meet deadlines.
- Commitment to maintaining accuracy, accountability, and confidentiality in all transactions.
QualificationsEDUCATION AND EXPERIENCE
- High school diploma or equivalent required.
- Minimum of 2 years of experience in shipping/receiving, inventory control, or a related field.
- Experience working in an academic or institutional environment preferred.
- Forklift certification (if applicable) is a plus but not required.
