Job Description

LSF is seeking a talented Central Receptionist who wants to make an impact in the lives of others.

Purpose and Impact:

The Central Receptionist serves as the first point of contact for LSF’s Central Services office, creating a welcoming and professional experience for visitors, employees and community partners. This position manages the front desk, answers a high volume of incoming calls, receives visitors and deliveries and provides administrative support and coordination to the development team. The Receptionist reports directly to the Office Manager.

Essential Functions:

Central office:

  • Greet visitors, vendors, and community partners in a professional and welcoming manner.
  • Answer and route a high volume of incoming telephone calls.
  • Monitor the front desk and maintain visitor sign-in procedures.
  • Receive, sort, and distribute mail and packages.
  • Coordinate outgoing shipments.
  • Maintain conference room calendars and assist with meeting preparation.
  • Keep reception and common areas clean, organized, and presentable.
  • Assist with office supply inventory and replenishment.
  • Assist departments with administrative projects as requested.
  • Coordinate new program badges and building access procedures.
  • Support meeting setup and basic hospitality needs.
  • Maintain office directories and contact information.
  • Notify staff of visitors and deliveries.
  • Assist with special events and employee activities.
  • Perform other administrative duties as assigned.

Development Support:

  • Record charitable contributions and update constituent records within the Development CRM system.
  • Maintain accurate and up-to-date donor and constituent information in the CRM database.
  • Prepare and distribute donation acknowledgment letters in a timely manner.
  • Review and process incoming donations and checks to ensure proper fund allocation and coding.
  • Identify and document donor restrictions and designated gift purposes in accordance with organizational policies.
  • Assist with gift tracking, record management, and donor data integrity efforts.
  • Provide administrative support to the Development team, including processing company mileage reimbursements, procurement card (P-Card) documentation, purchase orders, and Bank of America administrative transactions.
  • Support departmental operations through data entry, filing, document preparation, and general administrative assistance.
  • Maintain confidentiality and accuracy in handling donor information and financial records.
  • Assist with special projects and other duties as assigned in support of Development initiatives.
  • Other duties as assigned.

Physical Requirements:

  • Ability to remain in a stationary position (sitting or standing) for extended periods while operating a reception desk.
  • Ability to frequently use hands and fingers for keyboarding, data entry, telephone operation, and other standard office equipment.
  • Ability to communicate effectively in person, by telephone, video conferencing, and in writing.
  • Ability to read, prepare, and review documents, correspondence, schedules, and computer screens with or without reasonable accommodation.
  • Ability to frequently move throughout the office to greet and direct visitors, receive deliveries, distribute mail, and provide general administrative support.
  • Ability to occasionally bend, stoop, reach, and lift or carry office supplies, packages, files, or mail weighing up to 20 pounds.
  • Ability to maintain focus and effectively manage multiple tasks in a fast-paced, customer-service-oriented environment.
  • Primarily performed in a professional office environment with routine exposure to standard office equipment, including computers, telephones, printers, copiers, and scanners.
  • Regular interaction with employees, visitors, vendors, and members of the public in a busy reception area.
  • Frequent interruptions, changing priorities, and moderate noise levels typical of a reception and administrative office setting.
  • Occasional travel within the office or between nearby office locations may be required.
  • Work is generally performed during normal business hours, with occasional flexibility or extended hours as needed to support organizational operations.

Education:

High school diploma or GED required. Post-secondary education preferred.

Experience:

3–5 years of receptionist, customer service, or administrative experience. Excellent telephone etiquette with prior experience answering a high call volume.

  • Ability to manage multiple priorities.
  • Working knowledge of Microsoft Office.
  • Friendly, professional, and service-oriented approach.
  • Team-oriented with positive attitude.

Other:

Must demonstrate sensitivity to our service population’s cultural and socioeconomic characteristics and needs. Must be available to work in-person five days a week at our Tampa office.
