LSF is seeking a talented Central Office Manager who wants to make an impact in the lives of others.
Purpose and Impact:
The Central Office Manager is responsible for overseeing the daily operations of LSF’s Central Services office in Tampa, ensuring a professional, safe, efficient and welcoming workplace for employees, visitors and business partners. This position manages office operations, facilities coordination, administrative processes, vendor relationships and supervision of the Central Receptionist while supporting organizational initiatives and maintaining a high standard of customer service. The Central Office Manager serves as the operational hub for the Central Services office, proactively identifying opportunities to improve efficiency and enhance the employee experience. This is an office-based role.
Essential Functions:
General Office:
- Oversee the day-to-day operations of the Tampa Central Services office.
- Supervise and provide guidance to the Central Receptionist.
- Ensure the office is professional, organized, safe and operating efficiently.
- Manage office supply inventory and purchasing.
- Coordinate office equipment maintenance and service requests.
- Support onboarding logistics for new Central Services employees, including workspace preparation.
- Coordinate office security needs including badge access, keys and visitor procedures.
- Manage incoming and outgoing mail, deliveries and shipping processes.
- Assist with company-wide meetings, trainings and special events hosted at the Central Services office.
- Develop and maintain office procedures and administrative best practices.
- Promote a welcoming, customer-service-oriented environment for employees and guests.
Administrative & Executive Support
- Provide administrative support to the EVP of Human Resources, EVP of Head Start, VP of Information Technology, VP of Strategy & Quality, and VP of Talent.
- Manage calendars, coordinate appointments, and schedule meetings.
- Coordinate travel arrangements, including airline reservations, hotel accommodations, and conference registrations.
- Process and track company mileage reimbursements.
- Reconcile corporate purchasing card (P-Card) expenses and receipts through Bank of America Works.
- Create, process, and track Purchase Requisitions (PRFs) and Purchase Orders (POs) through Microix.
- Coordinate new vendor setup and maintain vendor records, including tracking vendor number assignments.
- Maintain an active Notary Public commission and provide notary services as needed.
Human Resources Support
- Coordinate onboarding activities for Central Services new hires.
- Initiate and track background screenings and drug screenings for new employees.
- Process screening-related payments and charges through Bank of America Works.
- Notarize new hire affidavits and other employment-related documents.
- Enter and maintain New Employee Orientation survey data.
- Serve as a backup processor and approver in Bank of America Works for Human Resources transactions.
- Coordinate meeting logistics, materials, and preparation for Human Resources team meetings.
- Serve as a backup approver for timesheets, company mileage, and related administrative processes.
- Process invoices and conduct follow-up activities through Microix.
- Recognition Program Administration
- Manage and maintain nomination tracking spreadsheets for Heroes and High Fives recognition programs.
- Prepare award correspondence and recognition letters.
- Coordinate ordering, shipping, and distribution of employee recognition awards.
- Chair and facilitate monthly Heroes and High Fives committee meetings.
Information Technology Support
- Process purchase orders for computer equipment and technology-related purchases, averaging approximately 50 orders per month.
- Provide administrative support to the IT Department through processing of BOA Works transactions, Microix requests, and company mileage approvals.
- Assist with tracking technology purchases and vendor communications to support departmental operations.

Physical Requirements:
- Ability to remain stationary for extended periods while working at a desk, using a computer, attending meetings, and performing administrative tasks.
- Frequently operate a computer, keyboard, mouse, telephone, copier, scanner, and other standard office equipment.
- Ability to communicate effectively in person, by telephone, video conference, and in writing.
- Visual acuity sufficient to read printed materials, electronic documents, spreadsheets, reports, and correspondence.
- Frequent use of hands and fingers to prepare documents, enter data, and perform other office-related tasks.
- Ability to occasionally stand, walk, bend, reach, stoop, and move throughout the office to access files, supplies, equipment, and meeting areas.
- Ability to occasionally lift, carry, push, or pull materials and office supplies weighing up to 20 pounds.
- Ability to travel locally on an occasional basis to attend meetings, training, or organizational events, as required.
- Work is primarily performed in a professional office environment.
- Regular use of computers and other standard office equipment.
- May require prolonged periods of screen time and repetitive hand movements.
- Work may involve interruptions, changing priorities, multiple deadlines, and frequent interaction with employees, vendors, and visitors.
- Occasional attendance at off-site meetings, training sessions, or organizational events may be required.
- The noise level is typically moderate and consistent with a professional office setting.

Education:
Associates’ degree in business administration or related degree required. Bachelor's degree preferred.
Experience:
3-5 years of office management or administrative experience.
Skills:
- Experience supervising administrative staff preferred.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite.
- Ability to prioritize multiple projects in a fast-paced environment.
- Professional demeanor and strong customer service skills.
- Team-oriented with positive attitude.
