Central Estimating Coordinator (CEC)

About the Role
We are seeking a highly organized and detail-oriented Central Estimating Coordinator (CEC) to join our Central Estimating and Project Management team. This position plays a critical role in keeping projects moving efficiently by managing job intake, coordinating schedules, maintaining accurate documentation, and ensuring every project file is complete and ready for the estimating process.
The CEC serves as the central communication and coordination point between customers, Project Managers, Estimators, insurance carriers, third-party administrators (TPAs), and internal departments. This role is ideal for someone who enjoys organization, problem-solving, multitasking, and being the person who keeps everything on track behind the scenes.
What You’ll Do
Job Intake & File Management
- Receive, review, and process new job assignments from multiple sources, including carriers, TPAs, referral partners, and customers.
- Create and maintain accurate project files in RMS, the company’s system of record.
- Verify all required information is collected before projects move through the workflow.
- Identify insurance carrier, TPA, and program-specific requirements.
Customer Communication & Scheduling
- Provide timely and professional communication with customers.
- Coordinate inspections and appointments with decision-makers.
- Confirm site access requirements, scheduling details, and special instructions.
- Maintain accurate communication records and updates.
Documentation & Compliance Coordination
- Maintain organized and complete project documentation.
- Upload and manage required documents, photos, forms, authorizations, and correspondence.
- Ensure job files meet company, carrier, and program requirements.
- Maintain accurate notes and audit-ready records throughout the project lifecycle.
Estimating Workflow Support
- Review files to confirm they are complete and ready for estimating.
- Coordinate workflow between Project Managers and Estimators.
- Track estimate status, supplements, revisions, approvals, and updates.
- Identify delays or missing information and escalate when needed.
Workflow Tracking
- Monitor project progress from assignment through completion.
- Help identify workflow bottlenecks and support operational efficiency.
- Track key milestones, documentation status, approvals, and communication updates.

Qualifications
- Previous experience in administrative coordination in the restoration industry, project coordination, insurance, restoration, construction, estimating support, or a related field preferred.
- Strong computer skills and ability to learn job management systems.
- Excellent written and verbal communication skills.
- Ability to follow processes, meet deadlines, and maintain accuracy.
- Experience with RMS, restoration software, insurance programs, or TPA platforms is a plus.
