Position Summary
The Center Coordinator is responsible for being the center liaison for both clients and team members. As a Center Coordinator you will be the first line of communication with clients who call, email, or visit our center. This includes but is not limited to answering incoming phone inquiries, initiate outgoing calls and communications, and greet employees and guests at our facility.
Duties & Responsibilities
Client Services:
- Answers incoming phone inquiries and re-directs calls appropriately
- Takes and ensures messages are passed to staff on a timely basis
- Initiates outgoing calls and communicates by telephone, fax, scan, and email as required.
- Collects and distributes incoming mail
- Greets and attends to all guests and facilitates their visits with the CSD team.
- Checks badges for CSD employees and ID cards for non-CSD employees who enter the office
- Ensures caregivers stay at the center for center-based services unless they properly sign in and sign out for drop-off services.
- For a drop of services, ensures the client is released only to the appropriate caregiver.
- Assists in photocopying, filing, and scanning general documents including insurance provider checks to its appropriate parties within a timely manner.
- Researches, files and locates clinical documents including authorizations and other client records.
Office & Facilities:
- Goes to the post office as necessary
- Maintains office and kitchen supplies
- Communicates with building management/maintenance for office repairs
- Point of contact for telecommunication and internet service providers
- Point of contact for leased printer/copier maintenance
- Point of contact for reporting and safety issues around the office, this includes but not limited to fire extinguisher and maintaining a list of employees with office keys
- Performs other tasks required for the smooth and efficient running of the office
- Supports with center audits conducted for safety compliance with funding sources.
- Ensures all safety posters and materials provided by HR are properly posted and stored
- Knows the emergency protocol for all potential emergencies and assists in the facilitation of the protocols
- Coordinate center events, such as staff meetings
- Client-related communication to caregivers, the program team, physicians, and other health care providers, as appropriate
- Assist in developing/assembling materials for Clinical Team
- Additional job duties as assigned
Requirements & Qualifications
- Excellent organization skills
- Compassionate, supportive, and customer service orientated personality
- 1+ years of experience in a client or customer service role or similar
- Excellent written and verbal communication skills
- Experience in an office environment preferred
- Knowledge of autism services is preferred
- Knowledge of Excel is highly preferred
- Able to commute to and work in office daily

- Constant visual stimulation, including close vision, distance vision, reading, computer work
- Constant sitting; frequent up and down out of chair
- Constant use of telephone, speaking, listening
- Constant document handling, use of copier and fax machine, filing
- Frequent typing, use of computer
- Occasional walking around building
- Occasional bending, reaching, stooping, pulling
- Occasional lifting, carrying, moving of items up to 20 pounds
- Occasional walking to, bending to enter, sitting and using upper and lower limbs to drive car
