Job Description

John Jones Ford of Salem is seeking a friendly, dependable, and customer-focused Service Department Cashier to join our team. This position plays an important role in creating a positive customer experience by assisting customers at the completion of their service visit, processing payments accurately, answering questions, and supporting the Service Department with daily administrative responsibilities.

The ideal candidate is professional, organized, comfortable working with customers, and able to manage multiple tasks in a fast-paced dealership environment.

Duties & Responsibilities

• Process customer payments for service and repair orders accurately.
• Review invoices with customers and answer basic questions regarding charges.
• Balance the cash drawer and maintain accurate transaction records.
• Answer incoming telephone calls and direct customers to the appropriate department or team member.
• Assist with scheduling or directing service-related customer inquiries.
• Maintain organized customer paperwork, receipts, and service documentation.
• Communicate effectively with Service Advisors, technicians, managers, and other dealership departments.
• Contact customers when needed regarding completed service or vehicle pickup.
• Prepare, review, and submit manufacturer warranty claims accurately and within required timelines.
• Review repair orders to ensure all required documentation is complete before claim submission.
• Verify technician notes, labor operations, parts, diagnostic information, and required authorization.
• Ensure warranty repairs comply with Ford and dealership policies and procedures.
• Track submitted warranty claims and follow up on unpaid, rejected, or returned claims.
• Correct and resubmit claims when necessary.
• Monitor warranty schedules and outstanding receivables.
• Maintain accurate records of warranty claims, payments, and adjustments.
• Work closely with Service Advisors and technicians to obtain missing or additional documentation.

Qualifications

• Previous cashier, receptionist, warranty, administrative experience preferred.
• Automotive dealership experience is helpful but not required.
• Strong customer service and communication skills.
• Strong attention to detail and accuracy when handling payments.
• Basic computer skills and ability to learn dealership software systems.
• Ability to multitask and remain organized in a busy environment.
• Dependable attendance and punctuality.
• Ability to work effectively as part of a team.
