Position Overview

The Cash Ordering & Reconciliation Analyst II independently manages branch and ATM cash ordering, cash shipments, vault inventory, forecasting, and related reconciliation activities. The Analyst validates and consolidates ordering requirements, coordinates Federal Reserve and cash-vendor activity, and helps ensure sufficient cash availability while minimizing excess or idle funds. The role researches complex cash-order and inventory discrepancies, reconciles physical cash activity to system records and general ledger accounts, supports audit and regulatory requirements, identifies recurring trends, and recommends process improvements. The Analyst II also serves as an experienced resource for Analyst I employees and operational partners.

• Cash Ordering & Forecasting: Independently validate and coordinate branch and ATM cash orders using historical demand, seasonal trends, local events, holidays, and operational needs.
• Reconciliation & Controls: Reconcile cash shipments, vault inventory, physical cash logs, system records, and general ledger activity and resolve moderate-to-complex discrepancies.
• Vendor & Internal Partnership: Work directly with cash vendors, branches, Accounting, and ATM Operations to resolve ordering, delivery, inventory, and settlement issues.
• Process & System Expertise: Maintain strong proficiency in LogiCash and related tools, identify recurring issues, recommend improvements, and provide guidance to less-experienced analysts.

Essential Responsibilities

1. Cash Ordering, Forecasting & Delivery Coordination (35%)

• Order Review & Validation: Independently review branch and ATM cash-order requests for accuracy, reasonableness, denomination needs, timing, and adherence to established guidelines.
• Forecasting: Use historical cash usage, seasonal patterns, holidays, local events, ATM activity, and other known drivers to anticipate cash needs and reduce shortages and excess balances.
• Federal Reserve & Vendor Coordination: Coordinate cash shipments and delivery changes and maintain working knowledge of Federal Reserve and cash-vendor requirements.
• Branch Support: Provide guidance regarding cash ordering, shipment status, cutoff times, holiday schedules, and non-routine exception handling.

2. Reconciliation, Inventory & Financial Controls (35%)

• Inventory Management: Maintain and validate cash and coin inventory records for assigned vendor vaults and cash locations; investigate unusual movements or variances.
• Reconciliation: Reconcile physical cash logs, shipment records, vendor reporting, system records, and general ledger accounts and resolve discrepancies within established expectations.
• Exception Management: Research cash-order, shipment, inventory, and settlement exceptions; document findings, coordinate corrective action, and escalate material or recurring issues.
• Financial Risk Management: Support accurate cash positioning and forecasting to limit idle funds, avoid unnecessary cash movement, and reduce operational and financial exposure.

3. Reporting, Audit & Operational Oversight (20%)

• Reporting & Analysis: Analyze cash-ordering, inventory, reconciliation, and variance reporting to identify trends, recurring exceptions, or control opportunities.
• Audit Readiness: Maintain complete and retrievable documentation supporting cash orders, reconciliations, inventory activity, approvals, and exception resolution.
• Audit & Regulatory Support: Support audits and reviews by providing documentation, research, and operational insight.
• Critical Communications: Communicate material delivery issues, cash shortages, significant variances, or other operational risks to impacted partners and leadership.

4. Systems, Process Improvement & Team Support (10%)

• System Proficiency: Maintain advanced working proficiency in LogiCash and related applications and serve as a resource for routine user questions.
• Process Improvement: Identify recurring manual work, control gaps, vendor issues, or process inefficiencies and recommend practical improvements or automation.
• Team Support: Provide job guidance and knowledge-sharing to Analyst I employees while escalating policy or decision-authority matters to management or senior staff.

Required Education & Experience

• Education/Experience: Bachelor's degree in finance, accounting, business, or a related field preferred; equivalent relevant cash operations, reconciliation, accounting, banking, or financial-services experience may be considered.
• Cash & Reconciliation Knowledge: Working knowledge of cash ordering, settlement, reconciliation, general ledger activity, financial controls, and cash-handling practices; ATM balancing knowledge strongly preferred.
• Experience: Typically 2 or more years of relevant cash operations, reconciliation, accounting, banking, or financial-services experience, or demonstrated equivalent proficiency.
• Analytical Skills: Ability to research variances, connect data across multiple sources, identify root causes, and recognize trends that may indicate operational or financial risk.
• Organization: Strong organizational and time-management skills with the ability to independently prioritize time-sensitive work.
• Technical Proficiency: Proficiency with Microsoft Office, particularly Excel, and demonstrated ability to use cash-management and vendor applications.

Preferred Qualifications

• ATM / Branch Cash Operations: Experience supporting ATM cash, branch cash, vault inventory, armored-car/cash-vendor activity, or related financial operations.
• Reconciliation Expertise: Experience reconciling high-dollar or high-volume financial activity and researching general ledger or settlement exceptions.
• Continuous Improvement: Demonstrated ability to improve procedures, reporting, forecasting, controls, or workflow efficiency.
• Peer Support: Experience serving as a knowledgeable resource, trainer, or informal mentor to peers.

Job Environment & Physical Requirements

• Work Environment: Office or approved hybrid work environment based on departmental requirements, with frequent use of computer systems, spreadsheets, email, telephone, and vendor applications.
• Confidentiality: Must safeguard sensitive financial, member, vendor, and operational information and follow established access and information-security requirements.
• Physical: Role requires substantial sitting and keyboarding and the ability to communicate effectively by telephone and in writing. Occasional movement of routine office materials may be required.
• Professionalism: Must maintain a collaborative, service-oriented demeanor with branches, co-workers, vendors, and other partners and adhere to established attendance, work-schedule, control, and conduct expectations.
