Job Description

The Public Sector Lockbox business is a 24/7 operational unit which provides a variety of services to government clients to assist them in managing their receivables and important documents. The core function of this business is Mail Center Operations (Mailroom, Batching, Scanning, Dispatch, and Data Entry) for a variety of clients located in Newark, DE. A successful candidate must be able to work weekends/holidays, additional hours as required and successfully complete the government-required background check. The duties and responsibilities described are not a comprehensive list and additional tasks may be assigned as necessitated by business demands.

The Cash & Trade Proc Sr Mgr is responsible for ensuring transactions are processed accurately and on time in coordination with the Transaction Services team. The overall objective is to manage the daily operations for a larger Cash and Trade Operations unit, consisting of multiple teams performing related tasks.

Responsibilities:

  • Primary responsibility for this position is to manage Lockbox daily production activities of the shift including appropriate resource allocation, setting and reviewing performance goals, monitoring functional and shift-level metrics, ensuring all Operational strategies are met. For off-shift times, shift ownership extends to site ownership in the absence of other senior management.
  • Responsible for managing a team of up to 5 transaction services managers and 150+ staff members (combination of Permanent and Contractor employees) that fluctuates based on seasonal volumes and temporary staff hiring.
  • Create a strong succession plan for all levels within your operation
  • Setting individual performance plans for direct reports, providing coaching and feedback through a formal review process.
  • Responsible for the shift productivity and quality metrics. Ensure shift-wide operating efficiency by maintaining standards for conduct, quality, performance and productivity and addressing corrective action when necessary.
  • Regularly monitor quality reports and eliminate client-impacting defects through coaching and process redesign.
  • Assess and make recommendations to improve new hire training and staff refresher training for both Temporary and Permanent staff.
  • Network/navigate within the organization in order to troubleshoot escalated issues and resolve.
  • Ensure communication with peers across shifts and sites is collaborative, frequent, maintained and consistent.
  • Identify opportunities to implement process improvements and expense-reduction enhancements.
  • Actively lead Lean, client, controls, operations projects, or other internal initiatives.
  • Provide timely and accurate escalation and resolution to all issues.
  • Within a strictly regulated environment, adhere to all Citi policies, client requirements, operational standard processes, and compliance guidelines. Identify control deficiencies and implement appropriate procedures to mitigate any risk.
  • Participate on client calls as needed.
  • Serve as deputy for the Transaction Services Group Manager as needed.
  • Cover for Peers cross-shifts when needed
  • Visible across sites and businesses through participation in site-wide committees, councils and projects.
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency, as well as effectively supervise the activity of others and create accountability with those who fail to maintain these standards.
  • Ensure a strong client centric focused and care about the service/product provided to our client
  • Be finically responsible in all you decisions
  • Resolve complex and highly variable issues with significant departmental impact
  • Evaluate performance and make recommendations for training/development, pay increases, hiring, terminations and other personnel actions
  • Ensure essential procedures are followed and contribute to defining workflow standards
  • Contribute to the objectives of the entire Transaction Services function

Recommended Qualifications:

  • 6-10 years of experience in a related senior level role with experience in trade / cash operations and management
  • Proven experience in creating and implementing processes that result in improved business performance
  • Effective verbal and written communication and analytical skills
  • U.S. Citizenship or Legal Residency (green card) is a prerequisite for this position
  • Candidates must be able to complete both a Citi background and Client background process.


Education:

  • Bachelor's/University degree, Master’s degree preferred


This job description provides a high-level review of the types of work performed. Other job-related duties may be assigned as required.

Responsible for 2nd shift (evening) processing Sunday through Saturday with onsite schedule to be 3 pm - 11:30 pm est Monday-Friday. The position will report to the current evening shift senior manager, William Ziolkowski.
