Job Description

Utah State University's Division of Student Success is hiring a full-time Staff Assistant III in the Connect Assist Refer Empower (CARE) Office at the Logan Campus. CARE provides direct support for students experiencing significant difficulties which have affected their well-being and/or ability to successfully function at the University.

The CARE Staff Assistant reports to the Director of the CARE Office and supports the CARE Office with clerical, administrative, coordination, and student support responsibilities. This role ensures smooth daily operations, manages records and compliance, develops materials, organizes events and meetings, and warmly welcomes students, faculty, staff, and community members to the CARE Office.

Responsibilities

  • Provides administrative support to including answering phones, directing calls to appropriate parties, responding to email inquiries to the CARE Office and scheduling appointments/meetings
  • Warmly welcomes and directs visitors
  • Represents CARE in a positive manner with students, staff, faculty, and the community
  • Performs office management duties, including filing, preparing paperwork, ordering supplies, and/or managing inventories, ensuring the office is presented in a professional and welcoming manner
  • Manages processes and updates cases through our database system, Maxient
  • Advises students, faculty, staff or members of the general public (e.g. parents of students) about CARE and other University services
  • Writes, edits, and coordinates the development of promotional materials, website content, educational materials, training manuals, and handouts.
  • Coordinates and organizes meetings and special events
  • Serves as the liaison between administration, faculty, students who are participating in the program, and/or community members who serve as mentors
  • Provides support in program compliance activities
  • Assists in preparing reports, meeting agendas, and communicating other updates with our on-campus partners
  • Performs miscellaneous job-related duties as assigned

Qualifications

Minimum Qualifications:• Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor's degree; or an equivalent combination of education/experience is required

Preferred Qualifications:• Familiarity with USU's systems, resources, and organizational processes• Knowledge of mental health and wellness issues in college student population.• Knowledge of Title IX, FERPA, HIPAA, and current legal issues in higher education.• Excellent skills with Excel and familiarity with data analysis

Knowledge, Skills, and Abilities:• Excellent interpersonal skills• Excellent verbal communication skills (oral and written communication), including ability to create, compose, and edit written materials.• Ability to handle sensitive and confidential data and information• Good computer skills including being familiar with Excel, Word, Powerpoint• Ability to take initiative and work without close supervision
