About the Role

The Office Staff Assistant is a key member of the CCRC-N team, providing essential administrative support so our attorneys and staff can focus on life-changing legal work. This is an excellent opportunity for someone who enjoys varied daily tasks and takes pride in keeping an office running smoothly.

What You’ll Do (Primary Responsibilities)

  • Serve as the friendly first point of contact: answer incoming agency phone calls and greet visitors.
  • Manage incoming and outgoing mail, shipments, and deliveries; perform routine opening and closing procedures.
  • Scan, file, and maintain official documents and required workplace postings.
  • Support travel logistics: prepare travel packets and travel vouchers, obtain and verify receipts, enter travel data into STMS, and reconcile SunPass transponder statements.
  • Help maintain inventory: track and inspect supplies and equipment, process warranty claims, and assist with bi-annual inventory reporting and surplus/decommissioning.
  • Assist with purchasing office materials and perform occasional local errands (post office, FedEx, etc.).
  • Provide additional clerical support to the agency as needed.

Minimum Qualifications

  • High school diploma or equivalent plus three years’ related experience, OR
  • Bachelor’s degree from an accredited college or university.

Required Knowledge, Skills & Abilities

  • Proficient with Microsoft Word and Excel (including pivot tables and merges).
  • Adept using Google Suite (Gmail, Calendar, Drive, Docs).
  • Experience with Box.com or similar cloud file systems.
  • Familiarity with STMS (Statewide Travel Management System) is preferred or the ability to learn quickly.
