Job Description

Position Summary:

The Capital Asset Management Project Coordinator is responsible for developing and coordinating laboratory capital asset management processes across the Regulated Bioanalytics organization. The role serves as a central point of coordination between Integrated Logistics & Sample Management (ILSM), Bioanalytical Sciences, Quality & Compliance, Clinical Operations, and Data/IT teams to ensure laboratory assets, infrastructure, and scientific operations align with current and future business needs. The position drives project execution, portfolio visibility, operational readiness, and continuous improvement while supporting GxP-compliant laboratory environments.

Key Responsibilities:

Capital Asset Management

  • Develop, implement, and maintain the capital asset management framework for regulated bioanalytical laboratories.
  • Coordinate laboratory asset lifecycle activities including:
  • Requirements gathering
  • Asset evaluation and selection
  • Procurement support
  • Installation and commissioning
  • Qualification activities
  • Preventive maintenance planning
  • Utilization tracking
  • Asset retirement and replacement planning
  • Support long-range strategic planning for laboratory infrastructure and equipment investments.

Project & Portfolio Coordination

  • Plan, coordinate, and track cross-functional initiatives and workstreams.
  • Manage project schedules, milestones, risks, issues, dependencies, and action items.
  • Facilitate project meetings and ensure timely follow-up of decisions and commitments.
  • Maintain project documentation, dashboards, status reports, and communication plans.
  • Provide visibility into project progress, resource needs, and key performance indicators.

Operational Excellence & Analytics

  • Monitor and analyze laboratory operational metrics including:
  • Asset utilization
  • Equipment uptime
  • Sample turnaround times
  • Right-first-time performance
  • Data completeness metrics
  • Generate dashboards and reports to support leadership decision-making and resource planning.
  • Harmonize scientific and operational data inputs to support strategic prioritization and forecasting.
  • Drive continuous improvement initiatives that improve efficiency, reliability, and scalability.

Quality, Compliance & Inspection Readiness

  • Support development and maintenance of SOPs, process maps, and controlled documentation.
  • Participate in change control activities and process governance reviews.
  • Maintain inspection-ready documentation and audit readiness practices.
  • Assist with CAPA tracking and remediation activities.
  • Ensure activities are conducted in accordance with GxP requirements and quality standards.

Stakeholder Engagement

  • Serve as a liaison between ILSM, Bioanalytical Sciences, Quality, IT/Data, and Clinical Operations teams.
  • Communicate project priorities, timelines, and risks to stakeholders at all organizational levels.
  • Prepare executive summaries, dashboards, and presentations for leadership review.
  • Drive alignment across departments to support portfolio objectives and scientific priorities.

Qualifications

Basic Minimum Qualifications:

  • Bachelor's degree in Life Sciences, Engineering, Business, Operations Management, Project Management, or a related discipline.
  • 3+ years of experience in project coordination, scientific operations, laboratory operations, asset management, or related functions.
  • Experience coordinating cross-functional projects and stakeholders.
  • Strong organizational, planning, and communication skills.
  • Proficiency with Microsoft Office tools including Excel, PowerPoint, Teams, and SharePoint.
  • Demonstrated analytical and problem-solving abilities.
  • Experience developing dashboards, reports, and performance metrics.
  • Must be eligible to work in the United States indefinitely without restriction or sponsorship.

Preferred Qualifications:

  • Experience within pharmaceutical, biotechnology, CRO, or regulated laboratory environments.
  • Knowledge of GxP, GMP, GLP, or related quality systems.
  • Familiarity with laboratory equipment lifecycle management and capital planning processes.
  • Experience with CAPA, change control, and audit readiness activities.
  • Project Management certification (PMP, CAPM, Agile, or equivalent) preferred.
  • Experience working with laboratory informatics or enterprise asset management systems.
