The Night Shift Capacity Coordinator is a central resource for patient flow and capacity management after hours This role connects patients, providers, facilities, and resources to ensure patients are placed in the right care setting, safely and efficiently

Success requires clinical judgment, critical thinking, communication, and strong collaboration to support patient access, throughput, and effective use of hospital resources.

Essential Responsibilities:

Coordinate Patient Transfers & Access

  • Serve as the primary contact for inbound and outbound patient transfers across the health system.
  • Review clinical information and match patients with facilities based on clinical needs, bed capacity, and available services
  • Coordinate direct admissions, ED transfers, inpatient transfers, procedure-related returns, and other patient movement.
  • Facilitate communication between referring providers, accepting physicians, nursing leadership, and operational teams
  • Ensure timely transfer decisions while balancing patient needs, clinical priorities, and available capacity
  • Build strong relationships with referring facilities, physicians, and hospital staff

Manage Capacity & Bed Placement

  • Drive patient throughput by coordinating bed placement for admissions, discharges, and transfers
  • Monitor bed availability, staffing, census, and patient placement needs
  • Collaborate with the Capacity Management Nurse to set capacity targets based on staffing, anticipated ED boarders, and projected bed needs
  • Assign beds based on clinical needs, isolation requirements, specialty services, and unit capabilities
  • Identify and address barriers to patient placement and discharge.

Support Overnight Operations

  • Serve as a centralized resource for patient flow and bed management during nights, weekends, holidays, and other off-shift hours.
  • Collaborate with nursing, case management, support departments, hospital supervisors, staffing, EDs, and inpatient units.
  • Assist with complex placement situations while maintaining patient safety and regulatory compliance
  • Escalate capacity concerns and recommend solutions as needed.

Communication & Collaboration

  • Maintain strong relationships with teams across multiple campuses and facilities.
  • Communicate effectively with providers, nurses, leaders, and external healthcare partners
  • Maintain accurate documentation of transfers, placement decisions, and patient flow activity
  • Provide guidance on patient movement, transfer workflows, and bed management

Continuous Improvement

  • Identify opportunities to improve patient flow, throughput, and resource utilization
  • Identify, trend, and report barriers to patient throughput
  • Support improvements to transfer center, bed management, and capacity processes
  • Participate in workflow and performance improvement initiatives.

The Capacity Management Coordinator is responsible for patient flow within the hospital and to and from outside sources. This position is responsible for driving patient throughput by facilitating bed placement for patients designated for admission, discharge, and transfer. Mitigates barriers to discharge by working with nursing staff, case management, and support departments. The position will set capacity targets based on staffing, anticipated boarders, and projected bed needs. The Coordinator collects clinical information relative to a transfer request and facilitates the transfer by matching the patient’s clinical needs to the facility with bed capacity and service capability. The position works in collaboration with multiple departments within each hospital to foster relationships with referring facilities, physicians, and hospital staff. The position works closely with each facility to identify, trend, and report barriers to patient throughput.

RN Requirements:

Education
• Required: Graduate of an accredited school of nursing
• Preferred: Bachelor’s Degree in Nursing
Experience
• Preferred: Five years of clinical experience and at least one year of experience in Emergency Services, Case Management, Pre-Hospital, Flight Nursing, or a Transfer Center.
Skills

RRT Requirements:
Education:

Required: Graduate of an accredited school of Respiratory Therapy

Preferred: Bachelor’s Degree in Respiratory Therapy

Experience:

Preferred : Five years of critical care experience as a Respiratory Therapist

Skills:

Licensure/Certification/Registration:

o o Required : Respiratory Care Practitioner License active in the state of Missouri

o Required : BLS must be obtained within 90 days

o Required : Registered Respiratory Therapist (RRT) credential from the National Board of Respiratory Care

o Preferred : RRT-ACCS (Adult Critical Care Specialist) credential from the National Board of Respiratory Care

Medic Requirements:

Education
◦ Required: High School Diploma or Equivalent
Experience
◦ Preferred: Five years of clinical experience and at least one year of experience in Emergency Services, Case Management, Pre-Hospital, Flight Nursing, or a Transfer Center.
