This is a 100% in-office individual-contributor role based in Richmond, VA, requiring an active daily presence within the workplace environment. The campus supports up to 3,000 employees across three buildings totaling more than 1M square feet, requiring a high level of operational coordination, responsiveness and attention to workplace experience standards.

As part of the Workplace Management team, the role is designed for a highly organized, execution-focused professional who thrives in fast-paced operational environments and enjoys driving accountability, organization, communication and follow-through across multiple workstreams and stakeholder groups.

This position partners closely with department leadership and cross-functional teams to help ensure campus initiatives, workplace experience programs, operational processes, and day-to-day campus activities execute consistently and efficiently.

The standard schedule aligns with normal business operating hours; however, the role may require occasional schedule flexibility to support special events, campus activations, or operational priorities, including periodic early morning or evening support approximately 1–2 times per month.

Key Responsibilities

  • Coordinate operational workflows, deliverables, and follow-up activities across campus operations functions.
  • Support project and task tracking activities using Asana or similar platforms.
  • Track action items, deadlines, dependencies, and accountability across multiple departmental initiatives.
  • Lead cross-functional operational meetings, document outcomes, and ensure follow-up actions are completed.
  • Prepare executive-level communications, summaries, and campus updates.
  • Develop monthly department recap reports and performance updates.
  • Create and maintain SOPs, process maps & documentation, and workflow standards.
  • Support workplace experience initiatives, activations, and campus engagement activities.
  • Support daily campus inspections and workplace experience QA efforts.
  • Coordinate campus branding, signage, and operational presentation standards.
  • Assist with event coordination and campus activation support.
  • Support sustainability initiative coordination and reporting activities.
  • Coordinate vendor follow-up, operational requests, and service tracking.
  • Assist with purchase order tracking and department financial coordination.
  • Support Workplace Management team readiness efforts and maintain high daily campus presentation standards.
  • Maintain organized operational records, reporting, and project documentation.
  • Coordinate campus-wide communication and information flow.

Basic Qualifications

  • Bachelor's degree required from an accredited, not-for-profit, in-person college/university.
  • A track record of commitment to prior employers.
  • Minimum 3-5 years’ experience in workplace operations, facilities operations, hospitality operations, corporate campus environments, or operational program coordination.
  • Experience supporting large-scale corporate or multi-building environments preferred (400+ staff).
  • Proven project coordination and operational execution capabilities.
  • Strong proficiency using Asana or similar project management & tracking platforms.
  • Ability to manage multiple priorities and operational tasks simultaneously.
  • Strong written and verbal communication skills with the ability to prepare polished, executive-ready communications.
  • Comfortable working cross-functionally without direct authority.
  • Process-oriented with strong documentation and organizational skills.
  • High level of professionalism and operational ownership.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel & PowerPoint
  • Ability to independently manage workstreams while maintaining alignment with operational leadership.
  • Executive presence and professional communication style.
  • Hands-on, proactive approach to operational support and execution.
