Job Description
Positioned within the Campus Planning department of UMass Chan Facilities Management, this role provides professional services to develop, synthesize, and deliver institutional data across three core areas: land and building archival records, geographic information, and interior space information management.
Reporting to the Director of Campus Planning or a designee, the CAFM Business Technology & Data Integration Specialist supports the oversight, data inventory, accounting, and technical integration of the institutional Space Management Platform. This critical role manages built-environment drawings and data for all UMass Chan and UMass Memorial Health-owned and operated properties—spanning medical education, biomedical science, clinical science, and research laboratory spaces. The CAFM Business Technology & Data Integration Specialist maintains CAD/BIM "as-built" documentation and delivers standard and custom space analytics to support university data management strategies, capital programming, and campus operations.

- Data Maintenance & System Administration:
- Maintain the existing CAD relational database, block libraries, documentation, written in-house standards, and software licensing.
- Update and maintain CAFM as-built drawings to reflect renovations, personnel moves, and new construction accurately. Attributes include room data, occupancy, room numbering, architecturals, life safety, infection control, BOMA drawings, and evacuation maps.
- Manage the AutoCAD floorplan upload process to update the space system, keeping room polygons and database attributes complete and error-free.
- Organize and archive historical and current CAD/BIM files on the local network and within the space platform.
- Analyze, validate, and record gross floor area measurements for all facility profiles per university standards.
- Maintain expertise in university space data standards, space system tools, CAD standards, and Revit-to-AutoCAD conversions.
- Prepare and revise a wide variety of complex drawings where the use of initiative, judgment, extreme care, and knowledge of institutional specifics is required.
- Ability to handle multiple projects, prioritize, and understand the scope of work involved in maintaining the Space Management Platform.
- Maintain expertise in university space data standards, space system tools, CAD standards, and Revit conversion to AutoCAD.
- Maintain an archive of historical floor plans.
- Technology Integration & Strategic Advancement:
- Partner with Facilities colleagues and stakeholders to advance the Campus Space Management Platform to support an expanding university real estate portfolio.
- Represent Campus Planning on campus Scan-to-BIM initiatives to ensure efficient workflows and alignment with long-term institutional data goals.
- Support strategies to integrate the Space Management Platform with the Geospatial (GIS) platform and planned enterprise systems, driving digital transformation and a data-driven decision-making environment.
- Guide the modernization of legacy platforms, systems, and operational processes to improve overall business efficiency.
- Identify collaborative data-exchange opportunities with university stakeholders to increase campus data analytics adoption and translate analytical tools into daily business operations.
- Supports interdepartmental and cross-departmental initiatives aiming for the advancement of technologies
- Operations Audit & Compliance:
- Formulate, implement, and maintain written governance plans, policies, procedures, and data standards for space data management and analytics.
- Create and oversee the execution of the annual data maintenance plan, managing related communications with internal stakeholders and external consultants.
- Oversee and conduct routine on-site space audits using field measurements to draft dimensionally correct as-built floor plans.
- Evaluate consultant deliverables to ensure alignment with university facility documentation guidelines
- Reporting, Analysis, and User Support:
- Disseminate standard space utilization reports, tables, and colorized floor plans from the space management system.
- Produce custom ad hoc graphics, space planning diagrams, and complex occupancy/utilization analyses for special projects.
- Develop and deploy new standardized reporting tools within the space management application.
- Provide hardware/software technical support and training to facilities staff and self-service system users.
- Assist system users with navigating the platform and maintaining accurate personnel space assignments.
- Supporting space data utilization reporting, upkeep of graphic reports, and assist in keeping reports current and accurate
- Produce space planning options, diagrams, and occupancy/utilization analysis for special projects as time allows.

Qualifications
Required:
- Education: Bachelor’s degree in Architecture, Planning, Geography/GIS, Engineering, Computer Science, or a related field.
- Experience: 2-3 years (including formal internships) in CAD and database systems operation, document generation, or related work.
- Project Management: Proven ability to work independently, prioritize workflows, and advance multiple complex projects simultaneously
- Technical Proficiency:
- Advanced knowledge of IWMS platforms used for space management applications.
- Proficiency in AutoCAD and associated software packages.
- Experience with 3D modeling, Revit, and BIM applications.
- GIS knowledge utilizing the Esri ArcGIS product suite (ArcGIS Pro, ArcGIS Server/Enterprise, ArcGIS Portal/Online) and GIS database administration.
- Strong command of Microsoft Office Professional Suite (Excel, PowerPoint, Project) and Adobe Acrobat.
- Industry Knowledge: Basic understanding of building design, construction, and shared industry practices within healthcare or research laboratory facilities.
- Communication & Collaboration: Exceptional interpersonal, team-building, and communication skills characterized by diplomacy and professionalism; ability to interact effectively across a diverse campus culture with personnel, contractors, vendors, and consultants.
- Travel: Ability to travel to off-site campus locations.
Preferred:
- Education Master’s degree in Architecture, Planning, Geography/GIS, Engineering, Computer Science, or a related field.
- Experience: 5+ years (including formal internships) in CAD and database systems operation, document generation, or related work.
- Sector Experience: Background working within an academic medical center or higher education institutional setting.
- Specialized Analytics: Advanced experience with space planning calculations, occupancy/utilization reporting, and reporting software like Power BI or Tableau.
- Technical Toolkit: Familiarity with the Microsoft 365 suite, Autodesk Revit, ETL tools, programming languages, MS Access DB, and MS SQL Server.
- Standards & Documentation: Demonstrated experience writing data standards, documenting technical workflows, and applying FICM (higher education) and BOMA space standards.
- Document Interpretation: Strong ability to interpret complex architectural, electronic, and construction files.
