The Office Manager is responsible for the smooth operation of Cabrini Center and its program by developing and maintaining systems of work flow of the administrative support staff; keeping and generating periodic reports and ensuring data integrity for internal and external use; supervising the reception operations and Charlas; coordinating the operations of Cabrini Center and volunteers; coordinating office set ups; representing Cabrini Center in agency client services quality assurance issues; and assisting the Legal Director whenever needed. The Office Manager is a key point of contact for clients, volunteers, and external stakeholders, upholding our mission to provide vital immigration legal services to those in need.
What you Deliver
Supervises the Administrative Clerks and Receptionists of Cabrini Center to ensure the smooth operations and adequate coverage for both offices of Cabrini Center; coordinates office supplies orders; works with Cabrini Center Business Manager and Building Services staff to implement office systems, procure furniture and equipment, set up offices and address maintenance issues; develops and implements systems of file closing, storage and disposal; represents Cabrini Center in client services and quality assurance matters of the agency.
Develops and implements system for program data collection and mechanisms for ensuring data integrity; generates regular report on program performance for internal and external uses; coordinates with volunteer recruitment and onboarding; assists the Legal Director in setting up staff meetings and supervisor meetings; and organizes training to staff on client database usage, payroll and time-keeping systems and office policies and procedures.
Develops and publicizes calendar for Charla staffing and coordinates Charla presenters and schedules for legal consultation for legal staff; implements Charla staffing and registration system; organizes Charla materials and room set-up to provide a welcoming environment conducive to high quality service to the community; works with Legal Director to develop and improve Charla intake instrument and data analysis.
Assists Managing Attorneys of the Crime Victim Assistance Program and General Immigration Program to ensure adequate staffing support for program operations; assists with client interaction and trouble-shoot, as needed.
Organizes and holds regular meetings with administrative support staff, attends and participates in Cabrini staff meetings, and other agency meetings; participate in calls and meetings organized by funders, city-wide advocacy groups, and local service providers when appropriate and helpful.
Complies with all contract requirements; provides data and statistical information for grant, contract and other reporting purposes; provides accurate and timely monthly data, time logs, and reports for internal use, funder use, and other entity use; participate in trainings, webinars, meetings, calls, etc., as required by funders.
Participates in community outreach and legal education activities, including Charla and other community events, prepare community legal education materials on immigration issues.
Performs other duties as assigned by the Legal Director and Managing Attorneys such as assisting with in-house meetings and trainings, coordinate with community partners, engage in coalition activities, participate in staff and agency retreats, assist with special events.
QualificationsThe Expertise We're Looking For
Bachelor’s Degree Social Sciences or related field
Two (2) years of experience working in office management in non-profit legal services setting.
Bilingual in Spanish and English.
Valid Texas Driver’s License
