Position Summary

We are seeking a highly organized and detail-oriented Project Coordinator to join our team. Working directly with our Management, Engineering, Purchasing, and Installation departments, you will be responsible for keeping commercial and large residential millwork projects moving from order confirmation through to site completion. This is a communication and coordination-heavy role — you own the follow-through that keeps projects on schedule, clients informed, and our shop floor and field crews set up for success.

Working Conditions

This is a full-time, in-office position. Hours are 7:30AM–4:30PM Monday through Friday, with an early finish at lunch on paydays. A full benefits package will be provided following a successful probationary period. Starting wage is
$28-35

per hour depending on experience and education. On-the-job training is included.

Job Duties and Responsibilities

Project Coordination:

  • Manage day-to-day coordination on active commercial and residential millwork projects

  • Maintain and update project schedules, milestones, and key dates in our ERP system (Innergy)

  • Proactively identify and communicate project issues, delays, and risks before they impact delivery

  • Follow up on action items, outstanding decisions, and missing information after project and site meetings

  • Coordinate site readiness with clients and General Contractors prior to installation

  • Support delivery scheduling through communication with vendors, installers, and customers

  • Assist field crews with travel logistics and lodging coordination

  • Maintain accurate project documentation, files, and correspondence records

Submittals & Specifications:

  • Ensure material takeoffs from architectural and construction drawings are completed in a timely manner with assistance from our engineering team

  • Source hardware, accessories, and supplies from local vendors as required — purchasing is handled separately

  • Prepare, submit, and actively follow up on submittal drawings with GCs and consultants

  • Review specification guides for consistency and flag discrepancies before work enters production

  • Manage customer sample submissions and track approvals through to sign-off

  • Assist in responses to RFIs and tender information requests

Client & Contractor Communication:

  • Serve as a key point of contact for General Contractors and clients on project coordination matters

  • Provide regular project status updates to clients and internal stakeholders

  • Work closely with designers, contractors, and trades to support successful project completion

  • Assist with resolving deficiencies, managing client expectations, and ensuring site satisfaction

Administrative Support:

  • Assist with the preparation of project quotations and proposals as needed

  • Generate and issue invoices for completed projects

  • Perform other related duties as assigned

Preferred & Required Qualifications

  • Experience in project coordination or management, preferably in construction, millwork, or cabinetry

  • Ability to read and interpret architectural drawings and construction specifications

  • Strong organizational skills with exceptional attention to detail

  • Excellent communication skills, written and verbal, with confidence dealing with GCs and site superintendents

  • Proficiency with project management software; experience with Innergy is a strong asset

  • Knowledge of cabinetry installation and construction methods is a plus

  • Able to work independently and manage multiple active projects simultaneously

  • Flexible and adaptable in a fast-paced, deadline-driven environment
