– Executive (Office Transport Management & Facility Management)

Position Title: Executive – Office Transport & Facility Management

Department: Administration

Location: Chennai

Time: Night Shift

Experience : 5 - 10 Years

The Executive – Office Transport & Facility Management is responsible for ensuring smooth day-to-day office operations, employee transport coordination, vendor management, and delivery of essential facility support services. The role requires strong coordination skills, attention to detail, stakeholder management, and the ability to work under pressure to ensure employee safety, compliance, and workplace efficiency.

Key Responsibilities

  • Office Transport Management
    • Manage end-to-end employee transportation operations (pick-up/drop services, shift cabs, adhoc movement).
    • Coordinate daily routing, scheduling, and real-time monitoring of cabs using transport management applications (e.g., SafeTrax, MoveInSync, Routematic).
    • Ensure timely cab arrivals, track driver performance, and address delays or escalations.
    • Manage vendor relationships, SLAs, invoice verification, and monthly billing accuracy.
    • Monitor GPS tracking / OTP-based boarding to ensure employee safety.
    • Handle emergency transport requests, breakdown management, and rerouting during adverse weather.
    • Ensure compliance with company transport policy, safety norms, statutory requirements, and audit readiness.
    • Prepare MIS reports – trip summaries, cost analysis, vendor performance, and utilization trends.

  • Facility Management
    • Support day-to-day facility operations including housekeeping, security, cafeteriahelpdesk, and office maintenance.
    • Conduct daily walkthroughs to ensure hygiene, safety, and readiness of all office areas.
    • Coordinate preventive maintenance of HVAC, electrical systems, DG, UPS, fire safety, CCTV, and access control systems.
    • Manage space planning, seating arrangement updates, and workstation allocation.
    • Monitor office asset movement, stock levels, and AMC schedules.
    • Coordinate with internal departments and external vendors for repairs, services, and project support.

  • Vendor & Stakeholder Management.
    • Liaison with transport providers, facility vendors, landlords, security teams, and internal departments.
    • Monitor SLA adherence, contractual obligations, and service quality.
    • Resolve employee queries, escalations, and feedback promptly.
    • Inspect vendor manpower attendance, uniform compliance, and shift rosters.

  • Administration Support
    • Oversee ID card issuance, access cards, visitor management, and meeting room setup.
    • Support event management, office moves, and new project setups.
    • Maintain records of transport, maintenance, asset registers, and facility documents.
    • Prepare weekly/monthly dashboards for management review.

    Qualifications

    Required Skills & Competencies

    • Strong knowledge of employee transport operations and cab vendor management.
    • Exposure to facility management, housekeeping, security, HVAC/electrical basics.
    • Excellent communication, coordination, and problem-solving skills.
    • Ability to handle emergencies and high-pressure situations.
    • Good analytical skills for MIS reporting and cost control.
    • Working knowledge of MS Excel, MS Office, and transport management tools/apps.

    Qualification & Experience

    • Bachelor’s degree in any discipline
    • 5 - 10 years of experience in Office Transport Management and Facilities Operations.
    • Experience in corporate offices, BPO, IT/ITES, or GCC environment is an added advantage.
