Duties & Role:

Under the direction of the Chief Learning Coordinator and as part of the Academy Learning Coordination Team, the incumbent will perform the following duties:

  • Provide 1st line support to training coordinators, instructors and students from over 80 NATO and National organizations and entities, developing timely solutions to emerging challenges, as required.
  • Advise training coordinators, instructors, and leadership regarding course iteration requests and scheduling, to include gathering requirements and identifying appropriate existing or tailored learning solutions
  • Coordinate course iterations on a daily basis, adhering to the Academy schedule or adjusting, as required.
  • Coordinate real-life and technical support to instructors and students for course iterations in Oeiras and remote locations (eg., access, classroom booking and configuration, audio / visual and network services, security, building-facilities).
  • Administer course iteration scheduling, resources, and funding in the NCI Academy Training Management System (TMS) and NCIA Enterprise Business Applications (EBA), ensuring timeliness and data quality.
  • Participate in the planning and overall management of the NCI Academy course iteration schedule.
  • Be prepared to coordinate events, including real-life and technical support (eg., conferences, symposiums, workshops, visits)
  • Be prepared to contribute towards the development and administration of the NCI Academy Cyberspace Learning Catalogue.
  • Be prepared to onboard instructors and in-process students or event participants.
  • Perform other duties as may be required.

Requirements

Skills, Knowledge & Experience:

  • The candidate has a NATO SECRET security clearance, provided by the national security organization valid at the time of submission of the bid and covering the period of the contract
  • Fluent in English and must be able to read and write technical and user documentation.
  • A minimum of 3 years of progressively responsible experience in an Education or Training facility or in the training department of a NATO command or international organization
  • Experience managing complex scheduling and allocation of resources, preferably in an academic or training setting or similar environment
  • Experience and proficiency with enterprise systems (e.g., TMS, EBA, ERP/financial tools), including data entry, record management, and basic financial processing)
  • Proven customer service experience communicating with customers, internal staff, external entities and stakeholders.
  • Proven ability to manage multiple and competing demands and a rapidly changing environment.
  • Strong administrative and organizational skills, with proven experience managing logistics, scheduling, and high-volume operational tasks
  • Familiarity with E-ITEP or comparable Learning Management Systems (LMS), including the ability to manage, upload, and maintain course and schedule data.
  • Solid reporting and data management skills, including the ability to prepare reports on course iterations and course plans, and to perform data downloads and bulk uploads in training management systems.
