Job Description

of Essential Job Functions

Duties and Responsibilities

  • Manage all required licensure applications and renewals in a timely and accurate manner, including but not limited to State, DEA, CLIA, Controlled Substance, Pharmacy Board, and Business/Occupational Tax licenses.
  • Maintain prompt and consistent attendance at assigned workstation
  • Complete, or oversee the completion of, assigned tasks and projects within established timelines.
  • Coordinate licensure logistics related to acquisitions, De Novo openings, and relocations, including scheduling inspections, submitting required updates, and communicating with regulatory bodies.
  • Ensure ongoing compliance with all applicable local, state, and federal licensing regulations.
  • Communicate professionally, effectively, and promptly with licensing agencies, providing necessary follow-up and documentation.
  • Maintain up-to-date licensure records and documentation in LicensePro software and SharePoint sites
  • Serve as an internal and external subject‑matter resource for licensing and regulatory compliance inquiries.
  • Participate in acquisition and due‑diligence meetings, providing timely updates and insights into leadership.
  • Provide technical guidance and training to field staff regarding licensure processes and regulatory compliance requirements.
  • Maintain a foundational understanding of alcohol and drug abuse, addiction, and related regulatory considerations.
  • Adhere to all federal, state, and local regulatory requirements.
  • Comply with all applicable accrediting agency standards.

Communication & Relationship Management

  • Communicate professionally, effectively, and promptly with licensing agencies, ensuring appropriate follow-up and documentation.
  • Establish and maintain positive working relationships with regulators, internal teams, and external partners.
  • Represent the Licensing Team with professionalism, reliability, and a solutions-oriented mindset.

Minimum Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree in business, healthcare administration, or a related field preferred.
  • Minimum of 5 years of experience in licensing, regulatory compliance, healthcare administration, or a similar administrative role.
  • Experience working with state and federal regulatory agencies preferred.
  • Prior experience in behavioral health, substance‑use treatment, or healthcare operations is a plus.
