Job Description
SUMMARY
The Business Systems Analyst is responsible for supporting and administering transfer agent system functions, with an emphasis on data optimization, reporting, and process improvement. This role partners across Transfer Agency teams to maintain core recordkeeping operations while identifying opportunities to streamline workflows, expand automation, and advance the department’s adoption of AI-enabled tools.
KEY ACCOUNTABILITIES
SYSTEM SUPPORT
• Supports and maintains shareholder recordkeeping systems, ensuring accuracy and alignment with client and firm requirements.
• Designs, develops, and maintains data queries, reports, and dashboards to surface actionable insights for internal stakeholders and clients.
• Runs and monitors periodic batch and reporting jobs; identifies and addresses issues proactively.
• Reviews and approves client output for quality, accuracy, and completeness.
• Serves as a point of contact for internal teams and external clients on system functions, reporting, and service-related questions.
• May assist with vendor and client billing functions, as well as client onboarding activities.
PROCESS IMPROVEMENT
• Audits existing Transfer Agency workflows to identify inefficiencies, redundancies, and opportunities for automation or redesign.
• Drives continuous improvement initiatives from concept through implementation; documents outcomes and lessons learned.
• Supports the Transfer Agency’s AI strategy by identifying use cases, piloting tools, and helping teams adopt emerging technologies.
• Builds and maintains reporting solutions that provide stakeholders with clear visibility into operational performance.
WORKING RELATIONSHIPS
• Acts as a bridge between technical teams and business stakeholders, translating requirements clearly in both directions.
• Partners with vendor and operations teams to support shared system, reporting, and service objectives.
• Modifies individual priorities and deadlines in response to added information, changing conditions, or unexpected obstacles, and ensures completion.
• May perform other duties as required and assigned.

EDUCATION AND EXPERIENCE
• Bachelor’s degree in Business Administration, Information Technology, Data Analytics, or a related field.
• Mutual fund or financial services industry experience is preferred.
• Hands-on experience with process improvement, data analysis, or systems administration in a professional setting.
KNOWLEDGE
• Shareholder recordkeeping systems, reporting processes, and data delivery mechanisms.
• SQL and relational databases — ability to write queries to pull, join, and analyze data.
• Microsoft Power Platform (Power BI, Power Apps, Power Automate) and/or PowerShell, or comparable reporting and automation tools.
• Advanced Microsoft Excel, including pivot tables, formulas, data modeling, and automation.
• Familiarity with Microsoft Copilot, ChatGPT, or other AI tools applied in a professional context.
• Microsoft Office Suite and Adobe Acrobat.
