  • Position located in Hamiliton

  • Full-time, permanent position (40 hours per week, Monday to Friday) with flexible start and finish times, including 7:30am to 4:00pm or 8:00am to 4:30pm.
  • Some travel within work hours will be required (work vehicle provided when this travel is needed)

We're looking for an experienced Business Support Administrator to join our team and provide essential administrative support across our operational business.

Based within a busy depot environment, you'll work closely with leaders and frontline teams to support administration, finance, training coordination, procurement, and compliance activities. No two days will be the same, making this an ideal opportunity for someone who enjoys variety, organisation, and working with people.

Key responsibilities include:

  • Providing day-to-day administrative support to managers and operational teams
  • Coordinating travel, accommodation, and site logistics
  • Monitor and support our regional training requirements
  • Generate customer invoices
  • Manage various compliance requirements and KiwiRail systems
  • Raising purchase orders and assisting with invoicing activities
  • Supporting local health, safety, and environmental initiatives
  • Provide various finance support for our account, accounts payable, accounts Receivable Teams
  • Assisting with reporting and providing business support across the site

We're looking for someone who is highly organised, proactive, and enjoys supporting a diverse range of stakeholders.

To be successful, you'll have:

  • 3+ years' experience in an administration or business support role
  • Current full Class 1 Driver Licence required, with flexibility to travel across sites and office locations as needed
  • Strong Microsoft Office skills, particularly Word and Excel
  • Experience managing multiple priorities in a fast-paced environment
  • Knowledge of finance processes, invoicing, and purchasing activities
  • Excellent attention to detail and accuracy
  • Strong written and verbal communication skills
  • A customer-focused approach and ability to build positive working relationships
  • NCEA Level 2 or equivalent qualification

Ideally, you'll also have:

  • Experience using SAP and/or Maximo
  • Experience within infrastructure, construction, rail, transport, or a similar operational environment
  • A qualification in Business Administration or a related discipline
