Be Facilities Coordinator for the daily operation and management of the company's front desk, providing high-quality services to both internal employees and visiting guests. At the same time, assist with administrative and property-related matters to ensure the normal and orderly operation of the company's office environment.
The Facilities Coordinator staff must have a warm and friendly attitude, be a team player, and work with other members of the team to meet all key performance indicators as set out in the management contract..
Daily Administrative Work
• Responsible for the coordination and reservation of meeting rooms, reasonably arrange the use of meeting rooms to avoid usage conflicts;
• Timely send LS company-wide notifications to ensure that the notifications are delivered in place without omission.
Asset Management and Compliance Work
• Responsible for the management of fixed asset ledgers and regular inventory checks, ensure the accuracy of fixed asset information and that the accounts match the actual assets, maintain detailed inventory records, update the ledgers in a timely manner, and ensure the compliant and orderly management of assets.
Visitor Reception and Registration
• Welcome visiting guests with a warm and professional attitude. Proactively inquire about the purpose of their visit and communicate with them using polite language.
• Guide visitors to fill out the visitor registration form correctly, and record in detail information such as the visitor's name, affiliated entity, arrival time, the person being visited, and contact details.
• Promptly notify the person being visited that the visitor has arrived, and escort the visitor to the designated waiting area. Provide basic reception services like offering tea when necessary.
Business Card, Seal, Ucard Card and Card Sticker Production
• Produce business cards and seals for employees who have the need, following the company's specified templates and procedures, and ensure the accuracy of the information.
• Make Ucard cards and card stickers according to the company's needs and employees' applications, and keep detailed records of their distribution.

Assistance in Onboarding and Offboarding Procedures
• Assist the Human Resources department in handling the onboarding procedures for new employees, including distributing office supplies and access cards, and guiding new employees to get familiar with the office environment.
• When an employee leaves the company, retrieve office supplies, access cards, employee ID badges and other items from them. Keep detailed records of the offboarding handover and feedback the relevant information to the Human Resources department.
On-site Environment Inspection
• Conduct daily inspections of the company's office areas, including the reception area, meeting rooms, and public areas, to check the hygiene conditions and the operation status of equipment and facilities.
• If any hygiene issues are found, promptly notify the cleaning staff for cleaning. Report any malfunctions or damages of equipment and facilities in a timely manner and follow up on the maintenance progress.
Office Supplies Procurement
• Regularly count the usage and requirements of office supplies in each department of the company, and formulate a reasonable procurement plan.
• Be responsible for the procurement, inspection, warehousing, and distribution of office supplies. Establish a detailed ledger of office supplies to record the inflow and outflow of these supplies.
• Conduct regular inventory checks of office supplies, and replenish the shortage of office supplies in a timely manner to prevent any disruption to normal office work.
Compilation and Submission of DHL Express Delivery Fees and Property-related Fees:
• Reconcile DHL express delivery fee statements with the service providers every month, handle any discrepancies in the fees promptly, and go through the expense reimbursement process in accordance with the company's specified procedures.
• Collect and organize the invoices and documents related to property fees, such as water and electricity fees, property management fees, and parking fees, and submit them to the relevant department for review and payment according to the specified time and format.
Assistance in Property-related Inspections
• Cooperate with the property management department to conduct regular inspections of the company's office area, such as inspections of fire protection facilities and investigations of potential safety hazards. Identify problems in a timely manner and assist in rectifying them.
• Convey the notices and requirements of the property management department, and assist the department in implementing and executing relevant tasks.
Handling of SH China Unicom SIM Card-related Business
• Be responsible for the management of China Unicom SIM cards of the company, including handling new card applications, reporting card losses, reissuing cards, and changing service packages.
• Maintain good communication and contact with China Unicom operators, and promptly handle problems that occur during the use of SIM cards, such as poor signal quality and abnormal fees.
• Sort out and reconcile the monthly fee statements, and then submit them to the finance department.(SSS)
EHS LS PIC
• Oversee energy & paper consumption management, and various compliance inspections including building lightning protection, fire safety, elevator maintenance, etc.
• Conduct hazard and environmental factor identification, risk assessment, and implement control measures.
• Perform on-site safety inspections, manage emergency supplies and contingency plans, and organize fire drills and emergency response exercises.
• Maintain chemical inventory and SDS documents, and manage emergency equipment such as satellite phones.
• Complete office headcount statistics, extreme weather safety checks, and provide EHS support for company events.
