About the role –

We are currently seeking a talented and motivated Corporate Concierge, Global Corporate Services to support our client’s premises, located located on Marunouchi, Chiyoda-ku, in Tokyo. You will lead the end-to-end experience of our client’s workplace that spans over 26 thousand square feet and is home to a workforce of 150 employees. The workplace incorporates 5 client-facing meeting room and event spaces, with capacity up to 150 pax and 3 pantries.

You play a key role in the Corporate Services team. You are the first point of contact for all incoming calls from clients, employees and the general public. Ensuring the experience provided is seamless, welcoming, professional, and aligned to the highest standards required by JLL and our client is paramount.

  • Provide excellent customer service and manage the concierge counter. Greet clients and visitors and escort them to the meeting room. Serve drinks to clients in the meeting room whenever necessary.

  • Handle telephone switchboard- both internal and external to the firm

  • Provide high standards in client service delivery via f2f, telephone and email communication adhering to the client’s expectations

  • Foster a friendly, proactive, and productive manner toward customers

  • Ensure all client requests and inquiries are actioned and answered promptly, accurately, and in a professional manner

  • Proactively manage accurate bookings and resolve meeting room conflicts via the EMS /Book-It system

  • Coordinate and actively involved in event preparation with the event team when needed (catering requests, coordinating with host, catering vendor, venue set up), and ensure the event run smoothly.

  • Liaise with other IT and Global Corporate Services (GCS) functions to ensure meetings run smoothly

  • Liaise with the building management office and vendors for office matters (e.g. repair works and visitor registration)

  • Coordinate with vendors, explain requirements, seek quotations, provide recommendations & arrange work schedule

  • Perform daily checks of all conference rooms and the office area (including but not limited to the printing area, and pantry area) to ensure stock replenishment and its tidiness; report any issues by creating Corrigo tickets and monitoring until issues are resolved

  • Adhere to procedures and processes as well as manage client expectations and anticipate their needs

  • Provide escort to FM vendor to carry out ad hoc works if necessary as needed.

  • Provide support for general office administration duties (e.g. invoice process, purchase order, security card requests, pantry ordering, mailing/ printing management

  • Attend emergency and prepare Incident Report if needed

  • Compile the appropriate reporting for the clients.

  • Ad hoc duties as requested by management.

Qualifications & Requirements:

The ideal candidates will have an awesome attitude and high attention to detail, ready to take on any given task

  • High level of attention to detail particularly in high volume and pressure environment

  • Strong customer service and interpersonal skills

  • Good verbal and written communication skills in English

  • Excellent personal presentation

  • Ability to relate positively on an individual basis with a wide range of stakeholders, include but not limited to senior executives and professional staff

  • Collaborative team player and ability to work independently under matrix supervision

  • Desired experience in financial/investment bank services or 4 to 5 star hotel or corporate reception/customer service role

  • Background check with no criminal history

Experience

  • From a front of house role in customer service, hospitality, aviation or real estate industry

  • Familiar with administrative support tasks and request management

  • Familiar with facility support services in either helpdesk, cleaning, landscaping, pest control or security services

  • Strong interpersonal and communication skills

  • MS Office proficiency
