Job Description

The Business Support Analyst provides administrative, logistical, and coordination support to enable effective meeting management, client engagement, document governance, and execution of both routine and high‑profile events. This role supports day‑to‑day client logistical operations as well as large conferences and forums, ensuring seamless coordination, strong follow‑through, and consistent communication across stakeholders. Reports directly to Business Support Manager.

Key Responsibilities

Meeting & Event Coordination

  • Serve as the central tracker for meeting and event requests, ensuring accurate details are captured and maintained for each engagement
  • Provide weekly scheduling updates and reminders to ensure timely preparation and execution
  • Maintain comprehensive visibility across all meetings, including status, final attendees, outcomes, and required follow‑ups
  • Support travel and logistics planning and coordination by tracking timing, locations, and sequencing of meetings to avoid conflicts
  • Coordination of calendar for external engagements
  • Coordinate and track conference room bookings and related logistical needs as needed
  • Provide support around identifying and prioritizing key clients for executive meetings, dinners and special events with senior executives
  • Supporting senior level client engagements and related activities - the role requires comfort interacting with the offices of senior executives and managing a high volume of detailed information and email traffic, particularly during peak periods and large events.

Action Tracking & Execution

  • Track action items, deliverables, and next steps to ensure timely completion and proper closure
  • Provide consistent status updates on outstanding items, risks, and progress across multiple workstreams
  • Proactively identify gaps, risks, and unresolved items and escalate as appropriate
  • Responsible for building out library of relevant Co-Pilot and AI prompts related to tasks across the team

Meeting Preparation & Documentation

  • Request and compile briefing materials and preparatory documents, tracking completion to ensure readiness ahead of meetings
  • Keep detailed records of client meetings, including those scheduled, completed, and pending
  • Manage shared drives to ensure all documents, meeting materials, and records are saved, organized, and easily retrievable in accordance with established standards

Conference & Large‑Scale Event Support

  • Assist with logistics coordination for major conferences and large‑scale meetings (e.g., World Economic Forum in Davos, IMF in Washington DC), including schedules, materials, stakeholders, and open items
  • Track dependencies and deliverables to support smooth execution of high‑visibility events
