Role Overview:

As the Business Support you will be responsible for leading and coordinating the administrative support function to ensure the efficient delivery of operational and contractual requirements. The role acts as a key liaison between the administration team and Contract Managers, ensuring high standards of service, compliance, communication, and performance across all administrative activities.

Responsibilities:

Team Leadership & Management

  • Supervise and support the administrative team to ensure all duties are completed accurately and within required timescales.
  • Conduct regular one-to-one meetings, performance reviews, and weekly team catch-ups.
  • Monitor attendance, punctuality, sickness absence, and employee wellbeing, addressing any concerns in line with company procedures.
  • Foster a positive, collaborative, and customer-focused working environment.

Operational Support

  • Oversee the day-to-day administration function, ensuring effective support is provided to Contract Managers and supporting departments.
  • Act as the primary point of contact between the administration team and Contract Managers, facilitating clear and effective communication.
  • Support recruitment activities and assist other departments as required.
  • Ensure all administrative tasks are completed in accordance with contractual and company requirements.
  • Hold monthly 1-2-1 meetings with the administration team

Administrative Oversight

  • Monitor and ensure the timely completion of key administrative activities, including:
  • Raising and processing jobs.
  • Responding to customer and client enquiries.
  • Updating client portals and internal management systems.
  • Maintaining accurate records and documentation.
  • Raising Purchase Orders (POs) within agreed timescales.
  • Ensure all inbound telephone calls are answered promptly, with a target of answering within three rings.

Reporting & Compliance

  • Produce and distribute weekly operational and performance reports.
  • Monitor team performance against key service levels and contractual requirements.
  • Identify areas for improvement and implement solutions to enhance efficiency and service delivery.
  • Ensure compliance with company policies, procedures, and contractual obligations

You Will Need:

  • Previous experience in an administrative supervisory or team leader role.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Experience managing workloads and prioritising competing demands.
  • Strong attention to detail and commitment to accuracy.
  • Proficient in Microsoft Office applications, particularly Outlook, Excel, and Word.
  • Experience producing reports and analysing performance data.
